The Administrative Assistant is responsible for providing administrative support to the Publicity department. The Assistant will help to ensure the efficient day-to-day operation of the Publicity department by successfully accomplishing the following responsibilities:
Responsibilities:
Administrative and Publicity duties include but are not limited to:
• Receive, screen and route incoming telephone calls. Connect phone interviews seamlessly
• Maintain calendar, schedule meetings/conference calls, and coordinate travel arrangements for the executives in the publicity department.
• Maintain and expand publicity and entertainment contact database for the department.
• Process invoices and expense reports in a timely and efficient manner.
• Monitor artists in the press and compile press clips
• Update press kits for artists with press coverage, photos, album reviews, etc.
• Help write, edit and service press releases to our database
• Organize press days and junkets
• Event management and planning (manage extensive guest lists and coordinate event logistics from onset to end).
• Create blasts for artist TV spots, performances, awards shows, etc.
• Tour press – create press outreach for artists on tour, manage tickets for shows, create press recap of tour
• Assist at artist photoshoots, press days, etc. when executive is not available
• Provide welcoming environment for artists
• Maintain publicity tools (press kits, videos, photos, database).
• Manage department office supplies.
Qualifications:
• Minimum of a Bachelor’s Degree and with 1-2 years of administrative experience in publicity or related field preferred.
• Prior internship experience preferred
• Strong computer skills (Mac, PC, Microsoft Word, Excel, PowerPoint, FileMaker familiarity is a plus)
• Exceptional writing, organizational, Time Management and interpersonal skills
• Detail-oriented and able to prioritize duties and handle routine tasks with minimal supervision
• Ability to work well in an environment that is fast-paced
• Professional, confident, positive and calm demeanor.
• Ability to work independently, be detail-oriented, remain flexible, and handle routine tasks with minimal supervision is essential.
• The use of discretion and the maintenance of high levels of confidentiality are absolutely required.
• Must have knowledge of Outlook, Word, Excel, Photoshop, Internet and typical office equipment.
