Administrative Assistant, Editorial (Harlequin)

Harlequin is now looking for an Administrative Assistant to provide support to the VP, HTP Editorial and Subrights, and Director, Harlequin Teen.
Responsibilities:
• Provides administrative support to the VP and the Director, including such tasks as opening and prioritizing incoming correspondence, screening phone calls and scheduling appointments, processing and verifying expense reports, inputting contracts, scheduling weekly meetings, ordering lunch/refreshments as needed, distributing information, photocopying reports and correspondence and coordinating travel arrangements.
• Provides Editorial assistance for VP and Director. Responds to authors’ queries, manages the slush pile for Harlequin Teen, manages backlist and the creation of ancillary materials for VP’s and Director’s authors’ titles. This includes preparing art fact sheets, prelim packages, selecting BISAC codes, creating/rewriting back cover copy. Tracks and adheres to deadlines.
• Acts as NYC office liaison for Toronto and Overseas colleagues, directing queries to the appropriate individuals, providing materials, booking meetings, ordering lunches and preparing meeting materials when needed to insure that the needs of internal client groups are met.
• Bookscan and NYT Bonus administration. Tracks and supplies Bookscan information to NYC HTP editors, tracks and executes NYT bestseller bonuses.
• Assists VP and Director in development of various company/editorial presentations, as assigned.
• Internal systems knowledge: HERS, SMART, Concur, Ultipro, Edelweiss, Shared Drives, etc. Maintains effective logs and tracking systems.
• Special projects as assigned.
Qualifications:
• 2-5 years related experience or equivalent knowledge gained from prior experience
• Strong familiarity with Microsoft Word, Excel and Power Point as well as database applications
• High attention to detail; proofreading and basic copyediting skills preferred
• A strong customer service orientation and interaction with others in a highly professional manner
• A knowledge of basic accounting
• Strong organizational, interpersonal and communication skills, both verbal and written
• A proven ability to demonstrate a high degree of initiative, independence, flexibility, discretion and the ability to anticipate needs
