The Opportunity
The Senior Human Resources Coordinator is a key member of the Global Human Resources team whose primary responsibility is to provide HR administrative support to Global HR colleagues and business groups, in addition to managing HR Operations locally. Key areas of focus include; provision of excellent day to day administration support; first point of contact for all employee queries; ownership of the benefits process including annual renewals, day to day administration and liaising with consultants and providers; supporting the Human Resources Management team with the various elements of the employee life cycle including: Performance Management, Compensation Planning, Recruiting and Employee Engagement initiatives.
What you’ll do:
Administration – General, Payroll, Leave & Benefits
• Provide first line support for all routine employee queries – in person and via the centralised HR mailbox
• Promote and utilise the human capital management (HCM) system, maintain data integrity and perform ad-hoc reporting and analysis as required
• Maintain HCM filing systems by ensuring that files and records are maintained in accordance with legal requirements and Company policies and procedures
• Work with the local payroll team on changes that impact payroll and generate reports in advance of payroll each month
• Full ownership of the online absence management tool to track annual leave records
• Administer maternity, parental, paternity, unpaid, sick leave and any other leaves of absence
• Work in conjunction with the Global benefits team on the design and annual renewal of benefits programmes for Ireland and multiple countries outside the US
• Full ownership of local wellness programmes to meet employee needs
• Manage all day to day benefits activities and organise and manage periodic benefits clinics
• Identify, propose, own and deliver continuous improvements in the area of HR administration
• Additional duties as assigned by management
Performance Management
• Actively participate in the coordination of the performance management cycle
• Run reports and track completion of relevant steps – commitment setting, mid-point and annual appraisal
• Identify employees with outstanding actions and work with relevant manager to complete these
• Promote the use of learning and development resources
Recruitment, Onboarding & Offboarding
• Work with HR Business Partners to coordinate and complete employee onboarding and ensure proper documentation is prepared and completed
• Own the new hire orientation process and provide advice and support to new hires with onboarding queries
• Own the probationary process in conjunction with relevant HR Business Partner
• Responsible for transfer and/or immigration coordination with international offices, in addition to providing support for secondment (internal process) recruiting
• Partner with Recruiters/HR Business Partners on intern and graduate programmes
• Participate in employer brand awareness and talent search initiatives
• Own the exit process from start to finish
Additional support
• Provide support to the wider HR team on projects and programmes
• Advise US HR Business Partners and all employees on local people policies and processes
• Support US based HR Business Partners with creating and managing employee paperwork and records
• Support the annual employee engagement process including analyzing data and implementation of subsequent initiatives
• Update HR content on the intranet site HMH today
• Generate reports on employee data and key metrics such as absence, turnover and exit interviews

Knowledge, Skills and Abilities you’ll need to succeed
• Evidence of in-depth knowledge on HR processes and policies and comfortable advising employees and managers
• Excellent analytical and administration skills (data input, record keeping, filing etc.) are essential with a high focus on accuracy, attention to detail, quality and confidentiality
• Excellent written and verbal communication skills and interpersonal skills, including the ability to work with individuals at all levels of management.
• Exceptional follow-through and attention to detail
• Extremely flexible, highly organized and able to easily shift priorities and multi-task
• Considers how processes can be improved to enhance service provision and makes recommendations
• Up to date knowledge of employment legislation and human resources best practices
• Identify, propose, own and deliver continuous improvements in the area of HR administration
• Demonstrated experience managing all aspects of the benefits function
• Desire to work in a team environment achieving personal and team goals
• Strict adherence to confidentiality and high ethical standards.

• Global experience in the HR field supporting employees in multiple countries is highly desirable
Must haves:
• Minimum 3 years’ experience in HR-related roles, preferably within a progressive HR department; HR certification preferred
• Microsoft Office (PowerPoint, Excel, Word, Outlook)
• Experience with HRIS system(s) as a core tool of the job
• Fluent in English (both written and verbal); additional language skills beneficial
