OVERVIEW
Under minimum direction and acting with considerable independence, manage advanced, diversified and confidential administrative responsibilities. This position is key in assisting the Senior Vice President, Directors and Managers for AMC Ad Sales Marketing, requiring a broad and comprehensive experience, skill and knowledge of organization policies and best practices
This position provides complete administrative support to organization by relieving Executive of complex details and advanced administrative duties that contribute to the efficient operation and performance of the business unit. Works fairly independently, receiving a minimum level of detailed supervision and guidance. Maintains close and highly responsive relationship day-to-day activities of the Executives. Collaborates and interacts with ad sales marketing, digital, marketing, social, public relations, on-air, operations, scheduling, traffic, research and programming in the development and fulfillment of marketing campaigns.
RESPONSIBILITIES:
• Answer and screen telephone calls for SVP Ad Sales Marketing.
• Tactfully handle inquiries and/or refers to the appropriate party. Review and answer mail and inquiries on own initiative and determine if Executive action is required. Refer routine matters to appropriate person for action and follow up to ensure completion.
• Schedule and maintain Executive’s calendar of appointments, meetings and travel itineraries, and coordinate related arrangements. Anticipate and prepare meeting materials, charts and reports needed by Executives.
• Independently gather, compile and analyze information from multiple sources; prepare a variety of complex reports, manual, tracking documents or agendas. Compose routine and non-routine correspondence, memoranda, reports, etc, which are generally confidential in nature. Use various PC software packages such as spreadsheets, word processing, and graphics to produce high quality reports, presentations, or other documents.
• Act as a liaison between the Executive and his/her direct reports, as well as internal and external contacts. Coordinate activities, conduct research and ensure that requests are carried out. Handle a wide variety of situations and tasks involving the clerical and administrative functions of the office, which often cannot be brought to the attention of the Executive.
• Coordinate all paperwork necessary for Executive to approve. This includes, but not limited to, attendance sheets, travel and expense vouchers, personnel requisitions, performance appraisals, personnel action forms (PAF) and authorization payment forms (APF). Follow up with other departments to ensure that requests are carried out and activities are coordinated.
• Responsible for specific projects based on executive need: for example, SVP Ad Sales Marketing will have this position manage materials posted to a departmental website. Responsible for electronic filing and archiving of department documents, presentations, artwork (including key art and style guides), mechanicals, and videos, and the uploading/distribution of marketing assets under the direction the SVP.
• Maintain and distribute weekly tracking of promotions, projects and sponsorships
• Manage distribution of collateral materials between network and sales teams and field sales offices
• Assist department in special projects as requested by the Executive. May provide leadership to other department administrative staff.
QUALIFICATIONS:
• College degree preferred with an emphasis in Marketing or entertainment.
• At least five (5) years of secretarial experience preferably at executive level and/or two (2) years’ experience within an advertising, marketing or promotional agency working with entertainment clients.
• Broad corporate knowledge of company organization, policies and practices.
• Excellent knowledge, with proven experience, of Microsoft Office applications and Power Point.
• Familiarity with digital file formats for both print and video, and web-based workflow systems such as FilemakerPro, Basecamp, MS Project, and use of FTP sites.
• Strong oral and written communication skills with availability to interact with all levels of management.
• Proven logical skills, well organized and detailed oriented. Technology-friendly, with proven organizational and decision-making skills.
• Ability to work in a fast paced environment.
• Ability to maintain highest degree of confidentiality and diplomacy.
• Must be flexible to work overtime on short notice.
