Position Summary:
This position will provide administrative support to the Chief Technology Officer and the VP, Client Management, in a fast-paced and evolving work environment. The ideal candidate will perform their commitments from the Andover, MA location. This candidate will perform standard, advanced and confidential administrative support duties that require broad experience; in-depth skill and knowledge of organization policies and practices in support of varied enterprise initiatives.
Key Responsibilities:
• Schedules and organizes complex activities such as meetings, travel, conferences and department activities.
• Creates general correspondences, memos, charts, tables, graphs, business plans, etc. Proofreads copy for spelling, grammar and layout, recommends appropriate changes.
• Performs desktop publishing. Creates and develops visual presentations.
• Organizes and prioritizes large volumes of information and calls.
• Sorts and distributes mail. Drafts written responses or replies by phone or e-mail as necessary and requested.
• Answers phones; takes messages or fields/answers all routine and non-routine questions.
• Responds to regularly occurring requests for information.
• Handles details of a highly confidential and critical nature.
• Makes high level contacts of a sensitive nature inside and outside the company.
• Exercises judgment in selecting methods, techniques and evaluation criteria for obtaining results.
• Responsible for ensuring expense reports are submitted in a timely manner using Concur Travel.
• Works in cooperation with other enterprise support staff; including the EA to GVP and General Manager and provides coverage as necessary.
• Other administrative support duties as necessary.
Other Position Requirements:
• Bachelor’s degree preferred.
• Minimum of eight (8) years executive support experience; or equivalent combination of education and experience.
• Experience working with large technology organizations preferred.
• Excellent computer skills, proficient in Microsoft Office; Outlook; Ariba; and Concur.
• Ability to meet deadlines, prioritize assignments, and multiple-task.
• Poised, works well under pressure in a fast-paced and changing environment.
• High level of self-motivation and at ease working independently when necessary.
• Shows discretion and ability to hand confidential matters.
• Excellent written and verbal communication; organizational; analytical and interpersonal skills.
• Excellent listening and communication skills with sensitivity to cultural communication differences.
• Pleasant, diplomatic manner and disposition in interacting with senior management, colleagues and customers.
• Work hour flexibility a must.
• Some travel necessary.
