Position Summary
The Executive Assistant, under general direction, performs administrative and personal assistant services which are technical, complex and often confidential for members of the executive staff (i.e. vice presidents and senior vice president). Work requires independent judgment and initiative on assignments that are sensitive in nature and demonstrate ability to deal with high-level contacts inside and outside a company. Screen telephone calls and visitors, and resolve routine and some complex inquiries. Schedule and maintain calendar of appointments, meetings and travel itineraries, and coordinate related arrangements. May prepare and distribute minutes of meetings. May perform special assignments such as compiling reports, researching information and summarizing publications. May act as the office resource for word-processing and spreadsheet application.
Essential Duties and Responsibilities
• Provide administrative support to the SVP Sales and the Head of Communication to include managing calendars; collaborating with others both internally and externally in initiating meetings and scheduling business travel; meeting preparation, and expense report processing
• Provide additional administrative support to the business as required, such as preparing materials, meeting recap notes, correspondence, faxes, emails, organizing and maintaining filing system, distributing mail, etc.
• Code department invoices, create check requisitions, verify expense reports are completed correctly and obtain appropriate approval for processing
• Coordinate and complete specific events and catering requests for onsite and offsite events
• Maintain up-to-date distribution lists and the like
• Request access and coordinate set up for new hires
• Order and maintain office supplies
Education, Experience, Certification Requirements
• BS/BA degree or its equivalent.
• 3 years of executive administrative support experience with demonstrated achievements and progressive responsibilities.
Knowledge, Skills and Abilities
• In-depth knowledge of company practice, structure and high degree of administrative skill.
• Excellent verbal and written communication skills.
• Demonstrated ability to effectively coordinate multiple tasks and able to react to spontaneous changes in priorities.
• Strong attention to detail, while under pressure with frequent interruptions.
• Highly proficient with MS Office applications.
• Maintains strict confidentiality and conducts business in a mature and professional manner (in person, on the phone and within all correspondence).
• Ability to travel as VP/SVP dictates (i.e., events, conferences).

Hours
