The Administrative Assistant will oversee the day-to-day functions of executive and handle a wide range of administrative and executive support related tasks.
Responsibilities:
• Provide administrative support to executive including answering phones, coordinating meetings, maintaining calendar, arranging conference calls, arranging travel arrangements, etc.
• Prepare and submit expense reports in a timely and accurate manner
• Serve as liaison between the executive and artists, managers, attorneys, publishers, media, producers, and internal staff.
• Act as a gatekeeper as it pertains to calls and visitors.
• Keep executive organized and abreast of urgent issues.
• Make quick and accurate decisions when executive is unavailable.
• Keep up-to-date on music business news and company initiatives disseminate to Executive regularly.
• Track all incoming and outgoing materials to/from the executive’s office.
• Maintain an accurate and current list of internal and external contacts.
• Miscellaneous projects and tasks as assigned.
Qualifications:
• 3+ years of administrative assistant experience
• Extremely organized and detail oriented while working in a fast-paced environment
• Able to handle confidential information with a high level of professionalism and discretion
• Expert level written and verbal communication skills
• Strong technology skills including ability to work within PC and Mac programs
• Experience and abillity to navigate SoundScan, Mediabase, and additional charts
• Great interpersonal skills and the ability to interact with staff at all levels
• Proactive, flexible and a strong decision making ability
• Able to work independently and with little or no supervision
