Executive Assistant, Lifetime Programming
Job Description
Lifetime has an amazing Executive Assistant, Lifetime Programming opportunity providing administrative support to the Sr. Vice President, Original Movies. Responsibilities include answering a heavy volume of telephone calls, coordinating departmental meetings and events, scheduling meetings with outside clients, managing executive’s calendar, making travel arrangements and preparing expense reports. Duties also include organizing the movie library, archiving, providing internal status and development reports as well as other general administrative duties.
Specifically, the Executive Assistant, Lifetime Programming will:
• Facilitate and manage daily schedule of SVP, screen calls, and greet visitors
• Screen and route calls as necessary; maintain detailed daily call log
• Maintain effective communication with SVP regarding calendar and changes to calendar and schedule reminders
• Maintain alertness to potential problems
• Create agendas and other meeting materials as required
• Schedule travel, create itineraries, provide overall assistance and support during travel
• Prepare expense reports using Concur database system
• Reconcile travel expenses with SVP’s Corporate American Express card
• Perform various tasks using in-house database systems (Aspen and Concur)
• Receive and coordinate production payment milestones, and route to Accounts Payable/Legal as necessary
• Overall coordination and flow of office
◦ File maintenance; clerical initiative and support
◦ Fax, mail, courier and Fed Ex
◦ Draft routine correspondence for SVP
◦ Share in providing phone coverage, etc. for others in department, as necessary.
Qualification Requirements
• 2+ years’ secretarial or related administrative experience
• Entertainment and/or agency experience
Educational Requirements
• B.A./B.S. degree
Other Skills and Knowledge
• Strong multi-tasking skills needed and must be comfortable working in a fast-paced environment.
• Must have the ability to work independently, efficiently and be able to meet deadlines
• Knowledge or experience in development, production, script reading and coverage a plus
• A positive attitude is a must!
