Penguin Publishing Group is seeking an organized and detail-oriented Administrative Assistant to support the President and the SVP, Director of Strategy & Finance. The Administrative Assistant will have a wide range of responsibilities ranging from maintaining general organization of the office to liaising with editors, authors, and agents on behalf of the President. This position provides an excellent opportunity to learn about the business of publishing
The Administrative Assistant:
1. Maintains calendar (including outside appointments, meetings, lunches, dinners, events, etc.) and ensures that meetings in the President’s Office run effectively and on time each day
2. Keeps track of the daily, weekly, and long-term priorities for President, and the SVP, Director, and amends the schedule to suit those priorities
3. Handles inquiries and requests from visitors, external callers, and internal contacts at all levels of the organization. Directs calls, takes messages, and relays information in a clear, efficient, and organized way
4. Coordinates small and large meetings, on-site and off-site
5. Provides administrative support: processes expenses, tracks invitations and charitable requests, orders supplies and books, sends and receives packages, files, faxes, photocopies, and scans
6. Plans foreign and domestic travel including detailed itineraries.
7. Prepares for meetings or presentations (running reports, creating slides, gathering information, etc.)
8. Provides administrative support to other Executives and departments as needed
9. Provides support on various projects relating to sales, marketing, or analytics
Requirements:
• Minimum 2 years prior office experience supporting at the executive level
• Must be able to act with discretion and keep matters confidential at all times
• Excellent organizational skills, ability to multi-task, and identify priorities
• Excellent communication and interpersonal skills
• Exceptional phone manner and sound judgment
• Strong writing skills
• Strong knowledge of Microsoft Office Suite, including Outlook, Word, and Excel
