The School Division is currently recruiting for a Team Assistant for a one year contract role. This position is based in the Don Mills office.
JOB SUMMARY
The Team Assistant is responsible for providing administrative support including photocopying, organizing and coordinating meetings, completing contracts, submissions, updating ISBN logs, updating product information in SAP with specific tasks outlined below.
MAJOR RESPONSIBILITIES:
• Maintain department files
• Process invoices for payment
• Track department expenses against budgets
• Draft and/or format correspondence including letters, memos, faxes, cheque requisitions, contracts, contract briefs, proposals, reports, etc.
• Photocopy, send faxes, courier packages and distribute mail
• Assist in the organization and preparation of meetings and events. Attendance may be required
• Book travel and event reservations for authors and meetings
• Order competitive texts from other publishers
• Format, photocopy, and collate submission materials, organize and ship submission components
• Order ISBNs and maintain ISBN/ Price charts for department, set-up kits in conjunction with marketing services and royalties
• Prepare, send out, and track review packages
• Maintain field test lists and send out field test packages
• Extract data to compile reports from Business Objects, SAP, etc.
• Enter and extract date in Publishing Content System (PCS)
• Support editorial staff as required. May include collating reviews, creating art and photo logs, reviewing passes and proofreading
• Other tasks as required.
QUALIFICATIONS:
• Completion of post-secondary education
• A minimum of 2 years of work experience
• Excellent communication and organizational skills
• Proficient with computers including Microsoft Office
• Strong attention to detail
• Multitasking capabilities
• Adaptable problem-solver and team player who enjoys working in a fast-paced environment
