Facilities Coordinator
A little bit about our team:
This position will provide back office support and will report on a day to day basis to the CFO of the COE in Nashville. However, the position will be part of the larger Facilities/Office Services department.

The Facilities Coordinator will assist Senior Leaders in Facilities in the development and implementation of standards and procedures that enhance a safe, comfortable, reliable, and sanitary physical working environment. They will also assist with the day-to-day activity of the department and participate in projects as required.
Here you’ll get to:
• Answer departmental phones and Hotline. Open, assign and update Service Now tickets received in the Facilities queue daily. Calls/tickets include HVAC, maintenance, audio/video, cleaning/exterminating, security, etc. Place service calls with building or vendors. Log in all calls and follow up accordingly to ensure work has been completed.
• Assist with executive meetings, including but not limited to, ordering food, supplies, room set up, etc.
• Code & process all department invoices, copy/send to A/P (ARIBA) and maintain invoice log daily. Research outstanding invoices – discuss with A/P and ensure bills are paid in timely manner. Notify vendors of findings.
• Seek out, negotiate, & maintain catering accounts.
• Draft and send out Office Services E-mails and building notifications to employees.
• Assist in coordination of construction and renovation. Participate in project meetings, as well as monitor the construction progress and ensure timely completion of punchlist items. Interact with contractors in regard to schedules and finished work product. Maintain and track budgets on project spreadsheet and project binders.
• Assign office space to accommodate various departments on a daily basis. Use AutoCAD to record space assignments and update space analysis on a monthly basis. Liaise and work with leaders on all rent invoices. Request updated certificates of insurance for properties.
• Enforce WMG Security Policy. Assist with outsourced security staff and direct Security Supervisor to strictly adhere to WMG security procedures. Ensure that Security completes incident reports for all occurrences. Work with Security to notify employees of routine fire drills, safety procedures, emergency action plan, etc.
• Assist with inventory and purchase office furniture (file cabinets, lamps, chairs, tables, etc.), as required. Ensure that all appropriate approvals are obtained prior to ordering. Coordinate delivery and installation and update facility related fixed assets database accordingly.
• Create and display nameplates for office and cube locations for all employees.
• Maintain and update weekly employee headcount list for building. Recruit Fire Safety team, update list/postings and route to building manager as changes occur.
• Maintain department procedure manual on the shared drive
• Sort, forward and handle all incoming department correspondence and ensure it is date stamped as the date received. Maintain department files, vendor and building contact lists. Update as changes occur and distribute to staff. Order and keep inventory of department office supplies, stationery and toner.
• Schedule installations and ensure maintenance/service is performed on audio/video equipment located at Center of Excellence on a regular basis.
• Special projects as assigned by department management.
• Must be able to lift up to 25 pounds
It would be music to our ears if you also had:
• College degree preferred with 2-4 years Facilities experience with some construction.
• Familiarity with assisting in building procedures and building codes.
• Ability to multitask; prioritize; be able to work with strong personalities; be a team player.
• Computer skills including Word, Excel, PowerPoint.
• Ability to work OT if required on short notice.
