Responsibilities
The Administrative Assistant will support the SVP Production of Cable Entertainment and 3 VPs within the USA & Syfy Marketing group.
Essential Responsibilities
• Provide professional assistance and support to four marketing executives
• Act as a liaison between executives and all internal departments and external business associates to ensure that all matters are attended to in an efficient and timely manner
• Represent the department well and in a professional manner
• Update and maintain schedules—schedule meetings with numerous attendees as requested, reserve conference rooms and coordinate catering for meetings
• Arrange all business travel, including car service, air travel and hotels
• Draft and process travel, entertainment and business expense reports
• Track receipts and submit charges for team Pcard
• Register vendors and submit invoices
• Lead team-wide initiatives including business card orders, team events, and Dropbox access
• Work with IT to address any issues with equipment for execs
• Update and maintain contacts
• Organize storage and assets and marketing library for execs
• Manage phone calls to ensure that attention is always given to the most urgent materials/requests first
• Assist in special projects as needed
Qualifications/Requirements
Basic Qualifications
• Bachelor’s Degree
• Minimum 1 year work experience, including internships
• Proficient in MS Office, including Word, Excel, PowerPoint & Outlook
