Responsibilities
NBC News is looking for an experienced Executive Assistant to provide comprehensive administrative support to our President of International News, based in London.
We are looking for someone to handle a complex and detailed executive calendar across multiple time zones, arranging meetings and appointments, and arranging multifaceted domestic and international travel itineraries.
KEY RESPONSIBILITIES
• Providing day to day Executive and administrative support to the President, International News
• Screening incoming correspondence, including emails and telephone queries answering where appropriate
• Making travel arrangements and collecting travel documentation and receipts
• Preparing and processing expense reports, invoices and Purchase Orders (PO’s).
• Managing diaries, scheduling and co-ordinating internal and external meetings, conference calls and preparing meeting material
• Creating and preparing Microsoft Word documents and PowerPoint presentations for meetings, proposals and team reports.
• Organise meetings with either internal or external parties (for example global calls, town halls, industry forums, external auditors) providing full coordination support including logistics, attendees, agenda, speakers etc
• When required assist with research and analysis across a broad spectrum of areas e.g. editorial, commercial and digital
Qualifications/Requirements
SKILLS AND EXPERIENCE
• Proven track record as an executive assistant and experience of interacting at a senior level within fast moving international organisations
• Enthusiastic about news and ideally some experience of having worked in a news organisation
• Research experience would be desirable
• Dedicated attitude is customer focused, and able to handle multiple tasks with demanding work load.
• Ability to think quickly and adapt to ever changing plans and priorities
• Professional and confident style in dealing with all levels of staff
• Able to balance and prioritise
• Excellent communication skills
• Resilient and resourceful - able to work effectively without close supervision. Ability to develop a strong network to assist in the delivery of this role will be key
• Strong sense of initiative with the ability to multitask, and anticipate executive needs, using a proactive and energetic style
• Good attention to detail, and the ability to deliver as promised
• Excellent Microsoft office skills (word processing, PowerPoint, excel) are essential
• Ability to work with confidential and sensitive information in a discrete manner
• Must have eligibility to work in the UK
