The Pearson Immersive team, is transforming education and training through the use of immersive technologies including virtual reality (VR), augmented reality (AR), mixed reality (MR) and 360° VR content. We work with leading partners and device manufacturers to leverage the capabilities of immersive learning to solve the previously unsolvable in education. We are thought leaders in the use of immersive learning as well as a crack development team. We have a global remit for Pearson to lead the adoption, design, development and implementation of AR, VR, MR and 360° in our various lines of business and geographies. We also develop bespoke solutions for customers to meet their training or education needs. As a Project and Operations Coordinator you will play a pivotal role in the development of our immersive products by providing support to the growing unit. As an integral member of the Pearson Immersive team, you will be responsible for coordinating and organising, project and operations activities under the direction of the Project and Operations Manager and Global Director. This is a dynamic position that will involve coordination of project management functions, operational functions, quality control, administration, finance support, business development and logistics. You will work with some of the leading experts in the field focused on exploring new technologies. You will work on development projects primarily for mixed reality, but have the opportunity to work across the full spectrum of immersive tech including VR and 360 projects. We work on tight deadlines, but are committed to developing quality products. You will report to and support the Project and Operations Manager, Immersive Learning. Flexibility and willingness to jump in and get involved is key.
You will be responsible for:
• Assist with the day-to-day coordination and management of the team’s operational and project related activities/tasks, resources, equipment and information.
• Monitor, track and report on project progress, budgets, expenditures, plans and handle any issues that arise.
• Create and maintain comprehensive project documentation and management products such as: registers, plans, and reports.
• Providing support to key stakeholders and senior management team, furthering business improvement through proactive data insight and analysis, importance and effectiveness of operational and project process development and deployment.
• Agile project coordination and administration of various projects across the organisation.
• Maintain and update the project site and team’s intranet site.
• Keep up to date on all aspects of a project, assign tasks to ensure project delivery according to their tolerances: time, cost/budget, scope, quality, risk and benefit; and assist others, so even complicated tasks come to completion in an orderly and timely manner.
• Ensure compliance with company standards, procedures and ‘best practice’ processes, and all directives are constantly being met.
• Coordinating internal and external events.
• Responsibility for administration functions in the team including support for travel arrangements, expense reporting, meeting preparation and organisation, contract administration, facilities related queries etc.
• Support finance operations in the organisation including reporting, invoicing, vendor management (purchase orders, etc), contractor payments, etc.
• Oversee and effectively coordinate all internal HR administrative processes including but not limited to: preparation of job description requisitions, new starter documentation, inductions, leaver documentation, freelance/contractor contract preparation and administration, recruitment, training, etc.
• Other ad hoc project and programme, administrative, operations and support duties.
Qualifications
You will have demonstrated ability in:
• Supporting administration functions across a geographically dispersed team.
• Prepare materials for projects or presentations.
• Adjust work assignments or schedules to meet changing work priorities.
• Schedule work with other departments or areas.
• Prepare plans for projects or major assignments (including tasks, resources, and time frames).
• Coordinating projects of varying size and importance inside a large organisation using agile methodology.
Essential
• Educated to degree level.
• Experience using Finance systems (i.e. Oracle, SAP).
Desirable
• Accredited project management qualification or progression towards.
• Experience using Google G Suite.
• Experience using digital transaction management systems (i.e. EchoSign, DocuSign).
• Experience using HR and ATS systems (i.e. Taleo, Kenexa Brassring).
• Experience using project management systems/tools (i.e. Smartsheets, Microsoft Project and Project Server) .
Essential
• Previous experience in a similar role.
• Strong working knowledge of and/or experience in the utilisation of project management tools and methodologies.
• Solid organisational skills including attention to detail and multitasking skills.
• Well developed organisation and finishing skills, including the ability to carry through instructions.
• Demonstrated willingness to be flexible and adaptable to changing priorities.
• Strong working knowledge of and/or experience related to recruitment and other HR processes.
• Effective communication skills including verbal, written and presentation skills.
• Previous experience in cooperating with Project Managers for the delivery of projects.
• Project administration and/or coordination experience supporting project or programme management.
• Operation administration and/or coordination experience including support to management teams.
• Administration experience including: expense administration and reporting, international travel arrangements etc.
