PURPOSE
The Senior Management Team Assistant provides high quality efficient administrative and management assistance to the Senior Management Team (SMT) at Welbeck - The Defence Sixth Form College in order to support delivery of an outstanding education to students.

CONTEXT
The post holder’s primary role will be to provide administrative and management support to the Principal, Director of Operations and Vice Principals Academic (VPA), Military (VPM) and Pastoral (VPP). The post holder will take responsibility for items of routine business support that is currently undertaken by these members of the SMT, enabling them to focus on management level direction and strategic planning. The successful applicant will also work with specialist leads such as the UCAS Co-ordinator, the Head of Teaching and Learning, The Head of the Co-Curriculum, the College Business Manager, the Exams Officer, SENCO and the Head of Systems, as well as in support of other staff as required and/or directed.

KEY OUTPUTS
• To support the key members of the SMT by providing a high quality efficient administrative service, high grade management and operational support in order to free up these individuals to focus on management direction and strategic planning.
• In conjunction with the SMT listed above, to support the admissions and results processes at the College including liaison with the Head of UCAS, Head of Systems, Exams Officer, SENCO, Recruitment Administrator, parents, students and outside agencies.
• To support the Recruitment Administrator as specified.
• To support the planning and running of College events including Remembrance Sunday, Familiarisation Day, Dinners, Prize giving and Annual General Inspection and other occasions as necessary.
• To liaise with and support parents on routine administrative matters, including preparation of letters and communication with parents e.g., at key grading and reporting times
• To take minutes/record decisions for Ops, H&S, Fund Committee and other meetings as required, achieve sign off and distribute.
• To plan all aspects of corporate meetings, internal training sessions and workshops.
• To manage diaries of SMT members, including booking travel and meetings inside and outside the College.
• To assist with the running of the College diary.
• To provide administrative support to College Open Days including the arranging interviews as required.
• To input key data provided against KPIs on a monthly basis.
• To support the College Finance Team as required and assist with student Financial Assessments.
• To support the College Business Manager in administration of Third Party bookings as required.
• To manage stationery supplies and budgets in accordance with direction given.
• To provide and process information and data from the College Management Information System (iSAMS or other such database as is used) for members of the SMT as required.
• To support timetable development in support of the VPA as required.
• To undertake activities that support the academic quality assurance processes.
• To provide administrative support to the VPP during student disciplinary processes.
• To assist with H&S Management as directed.
• To book resources such as transport, accommodation and training facilities for the SMT.
• To input articles to, and regularly review information on, the College website.
• To undertake filing and archiving as required, and additional administrative duties as directed by the DoO.
• To undertake additional training as part of your Continuous Professional Development as directed by the DoO.

KEY PERFORMANCE INDICATORS
The post holder will be deemed to have been successful if:
• The SMT is able to focus on management level activity and strategic planning with routine administrative and management support in place.
• Simple efficient processes are understood by all and followed.
• There is clear evidence that prioritisation is undertaken and timelines are met.
• There is evidence that efficient event planning is underway and effective resource booking and diary management is in place.
• Excellent working relationships have been established across College and with outside agencies.

RELATIONSHIPS
The Senior Management Team Assistant will be expected to demonstrate excellent inter-personal skills and form highly effective working relationships with a wide range of internal and external stakeholders including:
• The Principal and members of the Senior Management and wider Extended Leadership Teams.
• All College staff.
• Pearson TQ Head Office including HR and Finance personnel.
• Representatives from the Ministry of Defence including all 3 uniformed services and members of the civil service.
• Prospective and current students and their parents.
• Representative bodies and authorities.
• Third Party users
To participate in the performance Management Review process with your immediate Line Manager - DoO.
To address effectively personal issues/problems/conflicts to prevent undue impact upon your work based responsibilities.

SKILLS / EXPERIENCE / QUALIFICATIONS
Essential
• Educated to A level, with GCSEs or equivalent in English and Mathematics.
• Excellent inter personal skills – with high level of verbal and written communication skills which enable development of positive relationships with managers, staff, parents, students and external contacts at all levels.
• Experience of developing, providing and maintaining effective administrative and information systems and management support.
• A person of principle, sincerity and integrity.
• Ability to prioritise personal workloads and manage competing demands - well organised and experience of taking responsibility in the workplace.
• Adept in the use of IT - experienced in the use of Information Technology applications including; databases, powerpoint, spread sheets, diary and calendar systems and website management tools to assist in the administration and organisation of work.
• Experience of organising and supporting meetings, including minute taking.
Desirable
• Educated to degree level or equivalent.
• Experience within an educational environment or of working with young people.

Hours: Full time during term time (34 weeks) plus additional three weeks.
Reporting to: Director of Operations
Start Date: As soon as possible
