The Production Coordinator supports the VP, Animation Production with the management of the production and development process on all projects in the TV animation production group. The Coordinator also supports the VP, Animation Production by providing excellent administrative support and customer service in a fast paced environment.
• Assists in the day to day running of the department(s), managing established schedules through production planning, coordination and troubleshooting.
• Develops and uses planning systems and 'work in process' tracking systems daily
• Works with external production in sending and receiving files and keeping milestone schedules on target.
• Work with internal and external design teams on all projects.
• Support the VP, Animation Production by managing their calendar, scheduling meetings, screening and prioritizing all incoming phone calls, meeting requests, mail and any formal communication, arranging travel, creating presentations and coordinating other key events.
• Act as the point person for all communication with the Studio and VP, Animation Production while the VP, Animation Production is traveling, to facilitate production efficiencies.
• Positively and professionally represent the VP, Animation Production office with crew, executives, and external partners.
• Help coordinate projects through external partners.
• Liaison with other departments on behalf of the VP, Animation Production. Including but not limited to Story, Marketing, Licensing, Legal.
• Prepare, submit and track expense reports for the VP, Animation Production, and other team members as requested, or assigned.
• Arrange, coordinate and confirm all travel arrangements on behalf of the VP, Animation Production. This may include coordinating travel for external/production crew as necessary or required. Ensure that all schedules are distributed, appropriate parties are kept up to date, and that all arrangements are within policy and make most efficient use of organization funds.
• Proactively anticipate and identify needs and concerns and address them head on.
• Meet and greet guests, order all catering for meetings, and arrange all offsite lunches and dinner meetings.
Requirements:
• 3+ years experience in production in a fast-paced corporate or production environment. Executive assistant experience a plus.
• Demonstrated professionalism and ability to maintain the highest level of confidentiality.
• Excellent communication skills, written and verbal.
• Able to communicate with all levels of executives, management and staff, including high-level entertainment industry talent, agents, and vendors, with diverse personalities and work styles.
• Excellent organizational and follow through skills. Ability to work well and prioritize in a fast paced multi-project environment.
• Must be proficient with the following software: MS Word, Excel, GoogleMail, and Powerpoint.
• Ability to manage multiple projects and tasks with a high level of detail and accuracy.
• Demonstrated ability to partner with others and build relationships.
• Must work well under pressure.
• Must be customer-focused, innovative, solutions-oriented and efficient.
• Uses a computer keyboard at least 75% of total work time.
• Some travel may be required.
• Bachelor’s Degree or a combination of education and experience that would approximate this level of professionalism.
