Job Description:
The Executive Assistant will assist the President, WEA with day-to-day administration and support tasks. The Executive Assistant will work closely with the WEA departments, HR, Finance, & Office Services on various projects.
Detailed Job Description/ Responsibilities:
• Manage & oversee the day-to-day office operations for WEA and President, WEA
• Manage the President domestic & international calendar, schedule meetings, arrange conference calls and travel, coordinate team meetings, ordering supplies, photocopying and answering phones, etc.
• Coordinate and book the President, WEA business travel arrangements, including domestic & international flights, hotel, & transportation.
• Submit, track, & maintain travel and entertainment expenses.
• Manage highly-sensitive, confidential information with the highest level of discretion.
• Work on Special Projects for the President and for other WEA departments as needed.
• Plan, coordinate, and execute domestic & international meetings/conferences/special events on & offsite.
◦ Responsible for event logistics including, but not limited to, site inspections and selection, sourcing and managing vendors, contract negotiations, catering, transportation and supporting technology.
◦ Coordinate staff attendance and maintain the schedule of events.
◦ Present and adhere to event budgets.
• Produce PowerPoint and Excel reports and charts as needed.
• Initiate work streams and partner with the WEA Creative team on the development of communication tools and materials, such as invitations, presentations, signage and premiums.
Required Competencies/Skills:
• Results oriented self-starter with a keen eye for detail,
• Deadline awareness and ability to prioritize workload
• Ability to orchestrate and manage multiple overlapping meetings, projects, vendors
• Ability to proactively identify challenges and offer creative and innovative solutions
• Ability to communicate information clearly, concisely and professionally, both written and verbally.
• Strong budgeting and negotiation skills
• Strong project management skills
Special Requirements/Preferences:
• 5-7 years of Executive level administrative experience.
• 3-5 years of Corporate meeting planning experience
• 4+ years in Project management experience desirable.
• 3-5 years previous Finance experience preferred.
• College Degree preferred
