The Charter Communications Corporate office currently seeks an Executive Administrative Assistant to the GVP of Software Development for our Software Engineering Department. This individual will provide direct support to not only the GVP of Software Development but also to the SE Development organizations as part of the Corporate Broomfield office.
The solutions developed by the SE team are deployed to approximately 15M Charter subscribers from NYC to LA. This means the software created by this group is used each and every day by millions of subscribers. The SE Development team fills an important role within Charter Communications by providing end-to-end solutions for the native set-top-box and next generation IP-video based navigation experiences.
Below please find a brief description of the essential duties and responsibilities required to function successfully in this position.
Essential Job Functions:
• Must be a motivated self-starter with a strong attention to detail.
• Must possess excellent organizational, planning, and communication skills.
• Must be able to work independently with little supervision.
• Must be able to work collaboratively with both internal and external administrative assistants to help coordinate meeting, events, etc.
• Must be able to prioritize and anticipate the needs of the team.
• Must be able to handle multiple assignments simultaneously.
• Must have excellent interpersonal skills and possess a positive, friendly and helpful attitude.
• Must be able to work under pressure.
Job Requirements:
• 5+ years experience as an administrative assistant supporting senior executives and their teams
• Proficient use of MS Outlook and a strong working knowledge of MS Office Suite.
• Maintain calendars and schedules for members of the team that are at a level of Director and above.
• Scheduling conference rooms and setting up meetings, as requested.
• Create and maintain all travel itineraries using a web-based travel tool and in house travel department
• Submit travel and other business related expenses for reimbursement consistent with company policies including tracking all reimbursement requests
• Planning and coordinating team activities and events
• Coordination with outside vendors to schedule local and offsite meetings including coordination of vendor meetings during yearly cable events
• Greet visitors and determine whether they should be given access to specific individuals.
• Maintain familiarity with all telephone, photocopy, fax, computer, printer, and other equipment and be able to assist others with their issues.
• Be proactive and stay informed of company administrative policies and issues.
• Handle sensitive information with good judgment and discretion.
Preferred Qualifications:
• Prepare invoices, reports, memos, letters, financial statements and other documents, using word processing, spreadsheet, database, and/or presentation software.
• Read and analyze incoming memos, submissions, and reports in order to determine their significance and plan their distribution.
• Ability to handle sensitive and/or confidential material and information appropriately.
• Perform other general administrative duties and projects as assigned.
Education and Experience:
High school diploma or general education degree (GED); or zero to three months related experience and/or training; or equivalent combination of education and experience.
Associate's degree (A.A.) or equivalent from two-year college or technical school; or three months to one year related experience and/or training; or equivalent combination of education and experience.
Bachelor's degree (B.A. or B.S.) from a four-year college or university; or equivalent training, education and experience.
Master's degree (M.A. or M.S.) or higher; or equivalent training, education and experience.
Supervisory/Managerial Responsibilities:
No Supervisory responsibilities with this position.
Lead: Assigns, trains, schedules or oversees work of others.
Supervisor: Plans, staffs, evaluates and directs work of employees of a work unit.
Manager: Delegates authority to carry out work of a unit to subordinate supervisors or managers
