Provide senior level administrative support related to multiple series and/or projects including, acting as the liaison for the President of Programming and top level executives (VP and above); working assignments that are complex in nature and require absolute discretion, as well as considerable tact, judgment, creativity and initiative in resolving issues and responding to requests, and to act proactively to have all information necessary to make informed decisions.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
• Participate in creative analysis of original production, original development and submission materials, including initiating review by senior level Executives.
• Manage and maintain a high level of written and verbal communication with senior executives and staff at Starz, as well as major film studios, production houses, agents, talent, etc.
• Manage and maintain executive calendar, drive meeting preparation, and schedule/coordinate meetings, conferences and teleconferences.
• Arrange travel schedule clarifying travel preferences by determining travel dates and destination, mode of transportation, and relevant cost savings for Starz.
• Schedule itinerary by identifying, booking, and confirming route, carriers, lodging, and dining and prepare expense reports; coding, scanning, and reconciling the reports.
• Manage correspondence and enhance department effectiveness by providing information, answering questions and requests and providing management support.
• Organize office operations and procedures including, copying, printing, compiling documents, creating binders, creating and distributing agendas/itineraries, sending and receiving mail and faxes, ordering supplies, maintaining organization and filing system, etc.
• Ensure efficient and effective phone coverage and have the ability to screen incoming calls and correspondence and respond independently when possible.
• Manage internal material distribution within the department and company for original productions, original development and external submissions.
• Additional duties and projects as assigned.
QUALIFICATIONS:
• Minimum of two years of administrative/office management experience, with focus working with talent agent or high level Entertainment Production Executive(s) required; Proven experience working with international production and business operations including, managing across multiple time zones required; And/or equivalent combination of education and experience.
• Prior experience managing heavy travel and schedule arrangements, including logistics of international travel, required.
• Must be familiar with the creative development process and production process as a whole.
• Must have demonstrated interest in International Scripted Original Programming & Production.
• Proven success managing and providing support to high level executive(s).
• Self-directed, efficient and able to handle multiple tasks and priorities in a professional and confident manner.
• Possess professional-level verbal and written English communication skills as well as interpersonal and organizational skills.
• Strong understanding of international cultures, geography and resources required.
• Must have the ability to direct, organize, and focus the work flow, clients, and traffic within the department and for the executive.
• Ability to prioritize work, demonstrated problem-solving ability, and a keen attention to detail.
• Ability to multi-task efficiently in a fast-paced, high volume, creative environment with minimum direction under tight deadlines.
• Ability to anticipate the needs of the executive team and outside clients and associates.
• Display good judgment and ability to maintain confidentiality.
• Strong background in creative analysis.
• Knowledgeable in all Microsoft Office applications, including Word, Excel, Access, PowerPoint, Adobe Acrobat/Reader and Project software applications. In addition, must be adept at utilizing technology to improve work flow.
