Responsibilities
The AV Coordinator will serve as liaison between the 30 Rock A/V departments, the Company, and the A/V departments of other NBCU locations to ensure that support is provided to all meetings, and manage records and provide other administrative services for the A/V department.
Responsibilities include, but are not limited to:
• Aggregate data from Condeco to create daily schedules of support assignments for the A/V support staff
• Provide ongoing communication to support staff on updates and changes to support requests, publishing new schedules throughout the day as necessary
• Assist clients and serve as their liaison to the A/V department by:
◦ Confirming the status and requirements of their meeting
◦ Gathering any omitted meeting information required by the support staff
◦ Assisting in providing resources and setting up the logistics of their meeting
◦ Assist in setting up the technical aspects of their meeting
• Collect, record, and analyze data regarding the department’s responsibilities (e.g. the support we provide, the activities of conference rooms under our purview, inventories and capabilities of each room we directly support, etc.)
• Manage Telepresence calendars in all NBCU locations
• Various administrative duties (e.g. recording minutes, notes and documents, managing calendars, managing databases, registering outside guests, creating team documents/notifications, etc.)
• Manage the billing of clients for service jobs to refund the costs back to the department
• Serve as liaison between the 30 Rock A/V department and those in NBCU’s other locations (including other East Coast offices, the West Coast, and the UK)
• Provide backup scheduling support to A/V departments in other NBCU locations (including other East Coast offices, the West Coast, and the UK)
• Assist Executive Assistants as needed
Qualifications/Requirements
• Bachelor’s degree or relevant work experience
• Excellent organizational and administrative skills, with great attention to detail and ability to multi-task
• Excellent verbal and written communication skills with all levels, both internal and external
• Ability to maintain a high level of confidentiality
• Ability to successfully manage and prioritize multiple projects while dealing with deadline pressure and busy schedules
• Self-starter with ability to follow through without supervision
• Proficiency in MS Outlook, MS Word, MS Excel, and Google Docs
• Willingness to work flexible hours as dictated by client and organizational needs
• Some weekend work may be required
