Overview and Responsibilities
This position will be responsible for assisting in the preparation of all executive work products supporting two managers in Physical Production.
Responsibilities to include, but not limited to:
• Manage phones, calendar and office organization for two executives.
• Manage asset tracking for productions and department warehouses.
• Manage the processing and filing of all warehouse payroll.
• Data entry and maintenance of Filemaker databases, for asset and crew rate tracking.
• Work with accounting and IT departments to trouble-shoot concerns.
• Administrative tasks including, but not limited to:
• Answer phones, schedule appointments/confirms meetings/maintains daily schedules, photocopy material, scanning, facsimile/e-mail, distribute and route incoming and outgoing mail.
• Create and maintain digital and hard files.
• Compose and generate letters and memos; back-up proof reading and editing on documents prepared by supervisor.
• Generate expense reports.
• Liaise with internal departments and external entities and vendors as needed.
• Create and maintain digital and hard files.
• Miscellaneous projects as needed.
Basic Qualifications
• Bachelor's Degree
• Minimum two years equivalent work experience
• Knowledge of Word, Excel, PowerPoint and Filemaker
Additional Qualifications
Desired skills:
• Excellent written, verbal, and interpersonal skills with the ability to interface with staff, internal and external contacts (including production staff, outside vendors and partner company representatives) and senior management.
• Ability to be adept at multi-tasking, prioritizing, and managing projects in a fast paced environment.
• Ability to handle confidential materials and issues in a professional manner.
• Knowledge of Excel and Filemakerpro.
