The Operations Coordinator works in conjunction with other staff to provide outstanding general office support and workplace services to staff members and guest clients. General duties include, but are not limited to, maintaining a professional environment, maintain inventory of books and replenishment of office supplies, supplying coffee/copy areas, providing facility services support for guest clients, preparation for, setting up and cleaning up before and after meetings, cleaning of the kitchen and office areas, maintaining inventory of office supplies, food and other items as needed for meetings.
The Operations Coordinator works with guests, visitors, vendors, and other staff to assist and support day to day operations and client visits while providing friendly, prompt and professional service.
RESPONSIBILITIES
• Provides a professional, safe, clean and well maintained facility
• Follows all safety protocols and reports violations and issues to management when appropriate
• Recommends par levels, conducts inventory, and requisitions for office and kitchen supplies
• Maintains inventory of textbooks
• Supports all facility and equipment needs, schedules maintenance activities as needed for carpet cleaning, painting, and furniture, etc.
• Supports special events and company functions as needed
• Ensures readiness of conference rooms, whiteboards (cleaned when needed and be sure markers are available), writable walls, extra chairs, surge protectors, lights, room comfort, cleanliness, etc.
• Provides primary back up and support for the Administrative Team
• Maintain documentation for meetings
• Prepare for, support and clean up before and after meetings
Other duties and projects as assigned
Qualifications
Education and Experience:
• High School Diploma or equivalent
• 1+ year customer service experience
• Excellent computer skills including proficiency with Word, Excel, and a web browser
• Prior facility support or other related experience preferred
• Experience using Google Email/Cloud (or other cloud-based platform) is preferred
Skills, Knowledge and Abilities:
• Strong ability to provide customer service that requires immediate action, sound judgment and confidentiality.
• Good communication skills both verbal and written.
• Demonstrated ability to multi-task and handle conflicting priorities with ease.
• Extremely professional customer service skills.
• Ability to keep timely records and to prepare periodic reports from such records.
• Willing to accept a work schedule with hourly demands that will vary as departmental workload fluctuates.
• Ability to work extra hours as needed to complete assignments. (Reliable attendance is critical and a key performance factor.)
• Desire to develop and maintain harmonious work relations with employees and outside contacts and to work effectively with a large number of office personnel performing routine functions.
• Effective interpersonal skills to handle sensitive information and situations and ability to use discretion when needed.
WORK ENVIRONMENT AND CONDITIONS
Physical requirements: Ability to operate standard office equipment and lift occasionally up to 20#.

Monday through Friday (8am – 5pm)
