We are seeking a smart, personable, dynamic person to join the Group Nine Media team and be the friendly face our employees and people see when they come to our headquarters in Soho. We require excellent organizational and interpersonal skills, including high level of professionalism, maturity, patience, and pleasant demeanor. You must be proactive and a team player - you’ll be part of a small team who takes care of employees spanning across 4 brands in multiple office locations. This position will be expected to work a significant amount of overtime hours.
What you’ll do:
• Manage reception area, greet all guests, and alert all parties of guest’s arrival
• Handle all VIP arrivals and coordinate with respective Executive Assistants
• Route all inbound phone calls
• Manage and update Group Nine Media Company calendar, conference rooms and meeting requests
• Manage mail and packages (incoming and outgoing, FedEx, USPS) and messenger service requests
• Manage office seating and security badge process
• Order all groceries and facilitate requests for office supplies
• With the Director of Operations, manage all office vendor relationships – security, cleaning services, maintenance, etc.
• Manage office events such as: in-house tastings, catered company breakfasts, board meeting meals, external happy hours, our summer and holiday parties, and company sports leagues
Requirements:
• 1+ years in a fast-paced environment, preferably in a start-up
• Team player with flexibility to accommodate different personalities and work styles as well as confidence to manage interactions and expectations at all levels of the organization
• Ability to prioritize as needed while handling multiple time-sensitive projects in a very fast-paced environment
• Willingness to pitch in and always help a team member, no matter what the job entails
• Must be a self-starter and work well without constant supervision.
• Strong organizational skills, work ethic, initiative, sense of urgency and attention to detail
• Exceptional verbal and written communication skills
• Strong project management, creative problem-solving skills and ability to act independently
• Proven ability to multi-task and successfully problem solve
• Sense of humor
• Experience using Google Calendar
