Overview and Responsibilities
The Senior Coordinator will assist the Senior Manager on weekly relocations for all New York locations.
Duties may include compiling information for move spreadsheets, measuring and laying out offices, workstations and file rooms. Perform pre/post-move walk-throughs and perform follow-ups, copying and distributing move information. The Senior Coordinator is responsible for the oversight and management of all move related activity.Maintain electronic and paper documentation and statistics on all completed moves, provide periodic reports, as required, for senior management.
• Maintain all space planning information in the Plan-On database. Update the database weekly based on information gathered from the move sheets, promotional announcements, Human Resources new hire and termination correspondence. Periodically perform physical verification of floor occupants.
• Coordinate maintenance and miscellaneous move activity including furniture installations, repairs, and moves, etc.
• Responsible for the management and oversight of all miscellaneous construction projects by coordinating trades related to electrical, carpentry, telecom/data, audio/visual, HVAC, and painting/finishing work.
• Manage miscellaneous {small} project budgets to conclusion to include developing purchase orders, collecting lien waivers and budget reconciliation as directed by CORE Services Senior Management.
• Maintain files related to Project and Operations documentation as requested by Operations Management.
• Develop and maintain good rapport with all VIACOM point people, VIACOM support groups, MTS, HR and the CORE Services Facilities Department.
• Collaborate with all Departments as an integral means of achieving departmental goal of providing high level of customer service.
• Return all phone calls and e-mails within a 24-hour period, as per departmental policy.
• It will be necessary to periodically work weekends and/or evenings as required to ensure the successful completion of a specific move or project.
Basic Qualifications
• A minimum of 6-10 years Facilities experience required.
• Experience with facilities management and space allocation software.
Additional Qualifications
• Experience in corporate facility planning is preferred.
• Excellent interpersonal communication skills, verbal and written.
• Excellent computer skills i.e.; Microsoft Outlook, Word, Excel, Access, and Plan-on. Some CAD, knowledge is beneficial.
• High level of motivational and organizational skills.
• Excellent administrative skills with an attention to detail and follow-up.
• A proven ability to work under pressure and handle a number of projects at one time.
• The ability to understand the culture of each of various divisions within Viacom both on the Corporate and channel level.
• The ability to coordinate computer and telecommunication requirements within existing and/or new space.
• College education preferred.
