Reception
This element of the role is responsible for ensuring the smooth running of Reception, acting as the first point of contact for all students, potential students, other visitors and calls. This role is also responsible for all administration tasks usually associated with reception including control of petty cash, stationery & kitchen ordering etc. Key to success will be the ability to engage with a variety of different people in a friendly and professional manner, design and implement systems to monitor and control spend across different areas and to proactively look for improvements in the way that "things are done".
Facilities
Responsible for ensuring the smooth running of the training facility and office environment to include liaison with internal and external providers to ensure any issues with the building are dealt with in a timely manner. Key to success will be establishing and maintaining relationships with internal and external providers of facility services including building management and key suppliers and adopting a highly organized and documented approach to task management together with a ensuring that value is obtained for every £1 spent by the business.
Responsibilities
• Work with all members of staff to deliver the premier CG training facility
• Ensure the day to day smooth running of the office
• Responsible for the maintenance/upkeep of the Reception Area/Office Area/Break Out Space
• Manage and monitor security arrangements
• First point of contact for all visitors including students, potential students, external providers and any other visitor
• First point of contact for all incoming calls, company related emails and directing calls/emails as appropriate
• Managing and ordering all stationary and sundry items (including catering goods) including maintenance of stock levels and monitoring of budget
• Managing petty cash and maintaining budget spreadsheet
• Collecting and distributing incoming post, recording of staff holidays and sick leave, booking couriers/taxis
• Preparing class, open day and taster day registers and logging attendance
• Completing Fire Risk Assessments and drills twice a year
• Monitoring student profile sizes and communicating with the students regarding their profiles
• Involvement in ad hoc projects
Qualifications
• Excellent spoken and written communication skills
• Experience in a similar role
• Strong organisational skills
• Experience using office equipment like switchboards, photocopiers and scanners
• Ability to take initiative
