The Executive Assistant provides high-level support to executives by managing operational duties and travel arrangements, conducting research, preparing statistical reports, handling information requests, and performing administrative/clerical functions. Administrative functions include but are not limited to, preparing correspondence, receiving visitors, arranging conference calls, travel arrangements, scheduling meetings and heavy calendaring. This individual will also work on various projects of a confidential nature as assigned by the executive.
In addition, the incumbent will support the Talent Buyer with the booking of events and shows. This position will draft offers to be submitted to artists and venues. The Executive Assistant will coordinate availability of both artists and venue to create calendar holds for shows/events and they will assist in the maintenance of show files and the settlement of shows.
Essential Duties:
1. Manage daily operational duties related to the executive in a personal and professional capacity. Ensures that all documents are seen and signed in timely manner.
2. Execute various projects assigned by the executive in a timely, accurate and confidential manner.
3. Prepare, manage, and schedule travel arrangements for the executive and occasionally other team members.
4. Extremely heavy calendar management for both personal and professional management; coordinating and scheduling internal and external meetings.
5. Perform diverse, advanced and confidential administrative support functions including composing, signing and releasing routine but somewhat complex correspondence.
6. Prepare and submit the executive’s expense reports including reconciling travel.
7. Work onsite at concert and festival events on an as needed basis as an industry liaison and coordinator. Coordinate credentials for executive’s guest. Intercept issues and resolve before they reach executive.
8. May be responsible for assisting the executive with the preparation of proposals and reporting information related to artist deals, venue development and internal operation reports. Make decisions on behalf of executive.
Required Qualifications:
1. A minimum education level of: Bachelor of Arts/Sciences Degree (4-year) in a related area
2. 4-6 years of related work experience
3. Executive-level support experience
4. Strong attention to detail, ability to work effectively under pressure and time constraints
5. Significant time management, organization, multi-tasking and prioritization skills

7. Experience processing travel and expense reports in Concur or a similar software
8. Advanced skills in Outlook and other MS Office programs (Excel, Word, PowerPoint)
9. Ability to act with discretion and handle confidential information
10. Ability to interact with all levels of management
11. Ability to act in a professional manner in person, phone, and through email communications
12. Ability to work flexible schedule, including nights, weekends and some holidays
13. Passion for music preferred
14. Desire to attend music events outside of office requirements
