JOB SUMMARY
This position is responsible for overseeing and managing the principal areas that support these facilities: Studio space planning; onboarding and moves of all studio and 3rd party personnel; all rent and license agreements.
Responsibilities to include, but not limited to
• Oversee the development of physical space plans and programming to meet organizational needs and corporate standards and to ensure efficient utilization of space
• Develop reports and presentations for senior management regarding space utilization and programming
• Manage overall office and storage space utilization, and establish office renovation priorities
• Responsible for maintaining all 3rd party and production leases and coordinates with Legal all insurance and lease updates
• Establish financial goals and formulates, recommend and administer the annual operating budgets for Tenant Services; oversee the financial reporting for Tenant Services departments and ensure compliance with all accounting policies and procedures
• Coordinate with Financial Planning all forecasting requirements, annual budget preparation, scheduling of expenditures, variance analysis and development/initiation of any corrective action
• Oversee planning and coordinating of moves and renovations in conjunction with Facilities Operations, ensuring minimal disruption to tenants and manage office move budget, annually approximately $1M
• Oversee Tenant Administration functions, facilities management database administration, maintenance of online studio directory and department information, and reporting and billing for space, parking and telephones
• Oversee tenant relations for off-site properties as required, which includes coordination of moves and renovations and performance of office management functions
• Direct on-lot Tenant Services, including new tenant orientation; ongoing customer service, including monitoring of tenant satisfaction; and move follow-up and assistance, including production of building directories and office signage
• In conjunction with Strategic Sourcing, oversee the negotiation and supervises the administration of service contracts
• Develop department KPI criteria
• Ensure that department operating policies and procedures are documented and communicated to the employees
• Update job knowledge by participating in educational opportunities; reading professional publications; maintaining personal networks; participating in professional organizations
• Accomplish organization goals by accepting ownership for accomplishing new and different requests; exploring opportunities to add value to job accomplishments
• Develop employee educational and training opportunities
Basic Qualifications
• Bachelor’s Degree or equivalent work experience required
• Minimum 15 years experience in campus operational management, commercial building property management or real estate commercial portfolio management
• Minimum 7 years experience in managing vendor services, contracts and managing union and non union staff
