AEG Live, the live-entertainment division of Los Angeles-based AEG, is dedicated to all aspects of live contemporary music performance: touring, one-offs, sponsorship, festivals, and special events with seventeen+ regional offices and over thirty-seven-state-of the-art venues. AEG Live is also the largest producer of music festivals in North America from the critically acclaimed Coachella Valley Music & Arts Festival to Stagecoach Country Music Festival and New Orleans Jazz & Heritage Festival.
The Festival Manager Operations will oversee operations and perform management functions at venues and events throughout the region. The Festival Manager Operations will be responsible for day-to-day operations, marketing shows and working with the General Manager to ensure all event needs are met. This position will work closely with staff to provide a high level customer service in order to ensure a friendly, safe environment at all events, and work with operations team on developing policies and procedures, assist with planning and cost estimates. Additionally, the Festival Manager Operations will handle daily administration, oversee equipment and supplies inventory, and provide input on venue improvements.
Essential Duties:
• Prepare and create Event Service Order with Festival Director and PA support.
• Acquisition and negotiation of best rates for Suppliers, order placement, and onsite deployment advancing. Manage Operations Assistant/PA charged with detailed tracking of canopy, electric, fence, heavy equipment and other major supplier ordering.
• Create ordering/tracking documents for major suppliers that match budget line items for ease of reconciliation. Support Festival Director with budget management.
• Work closely with Marcato Coordinator to track asset requests and communicate operations needs across departments.
• Build staffing requests and schedules for select Seattle Center personnel (Admissions, Janitors/DRA’s, TFM, ESU, Trades); interface with other departments regarding additional personnel needs (StaffPro, SC Stage/Sound, SFD, SPD).
• Participate in and manage map edits
• Create staffing schedule with Festival Director’s support. Hire and manage venue operations leads. Coordinate operations hiring processes with Finance. Manage PA handling Festival staffing contracts. Assist with hiring Festival staff.
• Manage festival Load In / Load Out schedule prior to Site Manager’s arrival/availability. Coordinate with Site Manager thereafter.
• Work with One Reel on operations aspects of programming activations, ex: Visual Arts, installations, performances.
• Work with Festival Creative on operations aspects of Creative activations.
• Work with Resident Organizations and venues for operations logistics including house management, load in/out logistics, credential requests, connecting the Production team to resources as needed.
• Create timelines and operational needs with concessions/vending merchants coordinator. Advise on vendor placement.
• Create timelines and operational needs with IT team, ex: Tour Tech, AEG IT, and CCPI.
• Create timelines and operational needs with production team, ex: Connors & Company, AEG Production.
• Create timelines and operational needs with sponsorship, marketing, ticketing, VIP program.
• Create timelines and operational needs with alcoholic and non-alcoholic beverage sales entities, ex: SES, Porchlight.
• Oversee City of Seattle and Seattle Center parking permits and reservations.
• Work with Seattle Center to create “keys and cores” plan; track issuance and return of keys and cores to completion.
• Plan for on-site Bumbershoot headquarters. Supervise PAs and other festival operations staff; ensure HQ supplies and equipment are procured and in place; create plan and track issuance/return of radio’s and Nextel devices; be a resource for department heads to communicate needs, last-minute orders, etc. Advance details of Unified Command with Festival Director’s input. During the Festival, this position would be on grounds with PA(s)/AEG staff supporting the Festival HQ management.
• Work closely with Signage Lead / Creative to oversee signage and way finding plan.
• Participate in internal and external meetings and conference calls as needed.
Required Qualifications:
1. A minimum education level of: Bachelor of Arts/Sciences Degree (4-year) in Business Management or related field
2. 3-5 years of related work experience
3. Previous experience managing private and concert events
4. Experience in venue and events operation, tours, including artist communication and settlements
5. Computer savvy and proficient in MS Word, Excel, Outlook
6. Strong written and verbal communication skills
7. Previous management experience and strong leadership skills
8. Strong organizational/ project management skills with the ability to multitask and prioritize work load
9. Ability to work flexible schedule including nights, weekends, and holidays
10. Music industry and live music experience preferred
