You will report into the Senior Director, Fusion Product Management and provide administrative and office support to Fusion 360 staff leaders in the Portland office. He/She will coordinate meetings and other activities for a team of people. Pro-actively addresses potential problems in order to ensure an efficiently functioning team.

Principle Duties and Responsibilities
Administrative Support:
• Manage and maintain calendars. Make business travel arrangements and manage travel itineraries.
• Plan and coordinate events and meetings on and offsite, including preparation of meeting materials.
• Maintain email aliases, distribution lists and shared directories. Responsible for maintaining permissions.
• Manage information by organizing and tracking on databases to synthesize and generate reports.
• Assist with management of departmental budget. Track purchases and generate expense reports.
• Ensure department bills are paid in a timely manner. Serve as point person for departmental purchases, including but not limited to PC tracking and overall asset management.
Coordination Support:
• Provide meeting support. Prepare agendas, take notes and distribute meeting minutes and presentations.
• Track action items and communicate status
• Facilitate manager and staff communication. Answer phone calls / direct (or redirect) calls.
• Draft letters, memos and emails. Create presentations and maintain organization charts. (May be responsible for) maintaining and updating websites, including building or redesigning pages. (May) review and prioritize manager’s email and respond on behalf of manager. Pro-actively escalate issues that need manager’s immediate attention.
• Develop and maintain positive working relationships with staff, internal departments and outside vendors to effectively coordinate activities and collaborate on special projects.
• Manage information flow within department or organization unit and communicate new corporate policies/programs that affect team members.
Required Skills:
• Minimum 6+ years in an administrative role in a corporate setting
• Associate degree in Business or equivalent experience
• Thorough knowledge of administrative practices and procedures
• In-depth knowledge of company protocol and business issues/needs and the ability to work within a matrix organization
• Thorough knowledge of office management practices and procedures
• Exceptional follow-through and organizational abilities
• In-depth knowledge and proficiency of MS Office, including Outlook, Excel, Word and PowerPoint, along with SharePoint, Office Communicator, Live Meeting and Telepresence/video conferencing systems
• Outstanding organizational, communication, interpersonal, relationship building skills conducive to collaboration; able to work well in a cross-functional, matrix management environment.
• Ability to establish credibility and rapport with senior executives and technical and non technical team members alike
• Able to work non-standard, flexible work hours as needed
• An outgoing person who knows how have fun
