Position Description

We are looking for a technically savvy, upbeat, friendly and experienced Executive Assistant, who is highly organised and committed to providing outstanding support to the senior management team.
Key responsibilities:
• Complex travel arrangements, diary management and forward planning for two Executive Directors, including multiple locations & time zones.
• Meeting coordination, such as booking meeting rooms, scheduling conference calls, video conferences and all hospitality requirements.
• Assist the Directors in monitoring email and flagging up potential issues that require urgent attention.
• Organising key client and senior management meetings.
Overseeing and facilitating the organisation and internal coordination of divisional days and senior team meetings away days. Attending leadership meetings, creating agendas, taking minutes and distributing in a timely fashion.
Some involvement in planning and executing an annual Sales Conference for internal delegates, as required.
• Organising and maintaining key documents on the internal electronic filing system.
• Professionally responding to visitors and telephone calls in a manner that upholds the reputation of Pearson in accordance with our values.
• Strong organisational and time management skills with an ability to set priorities, meet critical deadlines, juggle projects, and produce high-quality and accurate work under time constraints.
• Process expenses for the Executive Directors.
• Raising purchase orders through Oracle systems and processing supplier invoices through the accounts payable team.
• Liasing with IT department to arrange computer equipment and managing software requests for new starters.
• Collate, organise and coordinate divisional requirements throughout the year for internal desk and storage moves.
Responsibility for administration of all divisional organisational charts and email distribution lists.
Qualifications
• Excellent verbal and written communication skills required
• Strong MS Office skills (Excel and Powerpoint) essential and Google Cloud Enterprise experience preferred
• Resourceful, conscientious, focused and detail-orientated
• Professional yet friendly attitude, the ability to multi-task and switch focus, as well as a self-motivated mindset and approach
• Strong support and service attitude, team oriented
