Operations and Technical Services (O&TS) is the division that supports NBCUniversal’s full portfolio of production, broadcast and media distribution businesses for both TV and Film. Services provided include technical and on-air operations, technology development, engineering and support, R&D, and corporate services such as real estate, facilities and security.
Responsibilities
An experienced Facilities Manager is required to oversee the successful delivery of hard and soft facilities services across our clients corporate office space in London.
The position of Business Operations Manager holds responsibility for the management of major contracts and ongoing relationships with suppliers of materials or services to the company (currently £5m pa) as well as the management and supervision of a contract personnel (2 direct reports and c30 staff) and the delegating of tasks accordingly.
The role will involve direct management of Contract staff for Reception and Hospitality, Facilities and Workplace Management and CSR totalling c30 staff at present on a daily and strategic basis.
Financial tracking, reporting and budget supervision to ensure the cost-effectiveness and value for money of all contracts working closely with and support the VP of Business Operations, Director of RE&FM and Real Estate Program Manger
Qualifications/Requirements
Client/ Stakeholder Management
•Primary point of contact for client’s needs with regards to service delivery at assigned portfolio.
•Implement and directed all client specific initiatives such as savings targets, benchmarking and best practices
•Develop and maintain a detailed understanding of the Client’s business and key factors influencing their requirement for FM services.
•Build, develop and maintain effective client / stakeholder relationships across multiple levels of the organization
•Establish & manage clear lines of engagement from business stakeholders & align response with our core services provided by preferred vendors (CBRE & Portico Baxter)
•Excellent interpersonal and communication skills
Contract Management
•Ensure and deliver services in line with key performance indicators
•Knowledge of critical facilities and understanding of basic technical aspects of property
•Oversee accountability & governance of our Hard & Soft vendor services.
•Overseeing Business Operations Database and reporting outputs
•Assisting Director of RE&FM
•Performance Management of contracts and personnel staffing them
•Review of KPI’s and SLA’s across contracts – Facility Charter
•Development and deployment of new Policy & Standards document
Financial Management
•RE&FM International Budget & cost control. Oversee / measure and control variable spend (currently $700k) within a £5m contract.
•Provide contract financial planning, compliance monitoring and performance reviews.
•Execute Latest Estimate (periodic review of budget plan & forecast), Business Performance Review, contract negotiations, continuous improvement initiatives
•Review & challenge variable cost tracker
•Vendor rationalization across Business Operations
•Build out annual FM budget for London
•Negotiating new and existing contracts
•Managing tenders for new services
•HR & Finance liaison for UK business operations team
•Monthly operating team presentations within FM and Hospitality
•Event Planning and direct management of the CSR co-ordinator responsible for Cares Day
•Understanding of solution/service economics, including cost drivers and trade-offs
Technical experience
Preference:
• NIBOSH
• Prince2
• MS Excel & PowerPoint
Other
•Excellent proficiency in all MS Office suite applications
•Previous experience of working with SAP financial system (Raising PO’s)
•Evidence of successfully handling multiple projects
•Ability to work and communicate effectively with all levels of operations and senior management
