OVERVIEW OF ROLE
The Administrative Assistant provides all necessary administrative, clerical and telephone support for the EVP of Programming and Scheduling, and as needed for the VP of Acquisitions and Scheduling and the VP of Promo Planning and Strategy. Maintain calendars, schedule meetings, make travel arrangements, prepare correspondence, office file organization, telephone coverage, prepare presentations, process expense forms and vendor invoices, and other various administrative tasks. Assist the department overall through maintaining office supplies, expense reimbursement, group meetings, timesheets, phone coverage, and various other department issues as needed.
This role is a key point of contact into the Programming department. It interacts with other departments and all levels of executives both internally and externally.
KEY DUTIES AND RESPONSIBILITIES
• Phone coverage for multiple executives and back-up for adjacent departments. Tactfully handle inquiries on own initiative and/or refer to appropriate parties when needed.
• Liaison between the EVP and internal/external contacts. Coordinate activities, conduct research and ensure that requests are carried out. Handle a wide variety of situations and tasks involving clerical and administrative functions of the office.
• Maintain executive calendars of appointments, meetings and travel itineraries, and coordinate related arrangements. Anticipate and prepare meeting materials, charts and reports as needed.
• Coordinate all paperwork necessary for the EVP and VPs to approve. This includes, but not limited to, attendance sheets, travel and expense vouchers, contracts, personnel requisitions, performance appraisals, personnel action forms (PAF) and authorization payment forms (APF). Follow up with other departments to ensure that requests are carried out and activities are coordinated.
• Maintain office files to ensure departmental organization.
• Responsible for ordering and maintaining office supplies for the department. Ensure that office equipment works properly. Coordinate repair requests with facilities and/or outside vendors. Maintains records on all repairs and orders. Provide back-up support for the department and adjacent departments as determined by needs.
• Assist department in special projects as requested by the EVP. May provide leadership to other department administrative staff.
QUALIFICATIONS
• College degree preferably in TV/Film.
• Advanced administrative experience preferred.
• Very organized, detail oriented, and highly accurate.
• Able to effectively prioritize work. Self-starter.
• Effective communicator as this position interacts with all levels of management, various departments and with external companies. Strong interpersonal skills.
• Excellent technical/computer skills. Excel, Word, Powerpoint, Outlook. Working knowledge of databases. Ability and desire to learn new computer systems.
• Works as part of a strong team; works well with others.
• Ability to maintain highest degree of confidentiality and diplomacy.
• Must be flexible to work overtime on short notice.
• A desire to grow within Programming as this role is designed to be entry level with future growth potential based on opportunity and individual performance.
