The LA Times is seeking an events coordinator for an exciting new Food event scheduled for May. LA Times Food Bowl will take place through the month of May and will incorporate a number of restaurant-based events as well as the brand new outdoor Night Markets. It will also provide an umbrella for other food and related events through the month May. In collaboration with the Festival Manager and the Executive Producer, this highly-motivated, enthusiastic events coordinator will assist in the creation and production of a series of public food events, liaising with all stakeholders, recruiting participants and overseeing the administration of the events.
Entry-level experience in event planning, operations, logistics and delivery is essential. An understanding background in the hospitality and outdoor events industry is highly desirable. The successful candidate will have excellent communication skills and attention to detail and be able to create good relationships with sponsors, event participants and stakeholders to create a landmark annual event that meets mutual expectations and budgets.
Responsibilities:
• Assisting with the creation and production of the new LA Times Food Bowl and associated administrative duties.
• Recruiting restaurants and food businesses to take part in Food Bowl events.
• Maintaining the event registration CMS and monitoring the registration process.
• Responding to customer queries and troubleshooting.
• Booking travel and accommodation requirements for event participants.
• Booking venues.
• Drafting invitations and maintaining databases.
• Drawing up run-sheets.
Qualifications:
• Minimum one year events coordination or administrative experience.
• A background and/or training in events coordination and an understanding of the tasks and skills required for planning, creating and running events.
• Good at multi-tasking and being able to work effectively with short deadlines.
• Excellent communications and relationship-building skills.
• Project-management skills and a pro-active approach to problem-solving abilities.
• Being able to work both independently and as part of a small team.
• An understanding of basic marketing principles.
• Strong computer literacy with proficiency in MS and database management.
Preferred Skills:
• An understanding of the food and hospitality industries.
• Experience with on-line content management systems.
• Understanding of travel and accommodation booking procedures.
• Budget and financial administrative experience.
