Responsibilities
• Manage all office and administrative systems & functions for SVP and VP
• Screen all calls; manage phone sheet and “roll calls.”
• Handle all scheduling and maintain calendars
• Liaise with all internal departmental assistants
• Distribute mail and order office supplies
• Coordinate all travel
• Maintain and distribute printouts and materials for meetings
• Ensure meeting rooms and IT are prepared for presentations
• Assemble bi-monthly expense reports
• Oversee expenditures and update budget tracker
• Collect updates and organize master project calendar
• Generate talent lists and pitch proposals as directed
• Maintain all talent files and grids
• Coordinate castings: schedule sessions, run camera, edit auditions
• Coordinate Talent meetings, gifts, and premiums, as directed.
• Read online trades
• Attend weekly development meeting
• Stay VERY aware of ALL current trends in the celebrity, entertainment & fashion industries, i.e. TV, Film, Music, Fashion to support brainstorming and pitches.
• Take initiative: find and pitch potential network on air talent, hosts, experts and comic ideas regularly and eagerly
• Attend comedy/improv showcases, performances and screenings
• Talent Wrangle for events and red carpet and distribute credentials and schedules to execs
• Facilitate industry relationships with other assistants & managers working in the entertainment industry.
Qualifications/Requirements
• Minimum 1 yr experience working at a talent agency or management firm.
• Proficiency in PC Windows Explorer, Word, Excel, Filemaker Pro, Quicktime, PowerPoint mandatory.

• Must be extremely professional, respectable and presentable, highly organized, have outstanding people/social skills, prioritize and work efficiently under pressure with great attention to detail & care.
• Strong interest and knowledge of all things pop culture; celebrity, music, style, fashion, food, home design, youth culture imperative.
• Confidentiality and discretion a must.
