Responsibilities
Position Summary: Primary responsibilities consist of general office administrative duties in support of the Course Design, Development & Academic Research and Human Resources functions. This role interacts with internal/external customers, vendors of all levels of within an organization. Additional duties include typing, filing, scheduling, financial record keeping, coordination of meetings and travel, and working on special projects. Independent judgment and strong professionalism is required to plan, prioritize and organize a diversified workload and interact with a diverse population.
Responsibilities: Include but are not limited to:
• Manage multidisciplinary projects, ensuring the achievement of projects to time, cost and specification.
• Manage intranet space and write content for it.
• Provide timely and accurate information and status updates to project sponsors, end users and management.
• Track and coordinate space planning needs.
• Schedule and organizes complex activities such as interviews, meetings, travel, and department activities.
• Coordinate or assist with travel arrangement: compiling notebooks, research, copying, etc.
• Prepare complex presentations and reports for CCD&AR and/or Human Resources using PowerPoint, Excel and Word.
• Handle confidential and non-routine information. Coordinate schedules, meetings, appointments, and establish agendas.
• Coordinate group events (e.g. on-site meetings, off-site meetings, open house, parties, etc.)
• Perform other administrative duties as needed: such as filing, photocopying, material mailings, transcribing, researching, etc. answer incoming telephone calls, determine purpose of callers, and address or forward calls to appropriate personnel or department.
• Welcome on-site visitors, determine nature of business, and announce visitors to appropriate personnel.
• Receive packages and contact appropriate personnel or department.
• Assist with facility accountably as needed (i.e. keep offices, storage spaces, and copy rooms stocked and maintain pantry and paper inventories.)
• Prepare and distribute routine correspondence and reports
Qualifications: include but are not limited to:
• Appropriate education or related experience. Educational or work experience in Project Management, Human Resources and/or Administrative Services is highly desired.
• Above average knowledge of Microsoft Word, PowerPoint, Excel and Outlook.
• Strong phone etiquette and communication skills.
• Proven administrative and organizational skills.
• Proficient Experience using the internet for research.
• Strong team player, able to function in a team organized environment as well as work independently
• Experience in working with sensitive or confidential information is highly desired.
