Academy Music Group are looking to recruit an experienced Office Manager for our Academy Events department. The role will be responsible for managing all aspects of the Academy Events department, including handling Academy Events shows payments/re-payments and FEU certificates, managing work permit applications where applicable, liaising with all other AMG departments on any Academy events show requirements or issues, and line managing two department admin and production assistants.
You must have strong administrative skills with the ability to multitask and an excellent attention to detail.

Responsibilities
To manage all administration aspects of Academy Events department and to line manage two department assistants and work alongside the department head.
Specific Responsibilities
• Handle Academy Events shows FEU certificates and payments/re-payments.
• Manage work permit applications and ensure on-going compliance.
• Processing and tracking of out-going payments as directed by promoters
• Reconciliation and handling of department credit card, including responsibility for VAT and end of month records.
• Maintain the departmental show database, updating forecast information, reporting accurate financial information to the Finance Department within specific deadlines.
• Look after all department invoicing, incoming financial queries and maintain an updated debtors spreadsheet, chase outstanding payments and issue monthly reports on outstanding debt concerns.
• Control all incoming billing from designers and external contractors and ensure accurate allocation of promotional and other costs to relevant shows
• Handle all internal and external general department enquiries.
• Manage the team diary including making hotel and travel bookings, organising meetings and scheduling conference calls including all pre-meet prep, take minutes and follow up on all action points.
• Liaise with all other AMG departments on any Academy events show requirements or issues.
• Line Manage two department admin and production assistants providing HR and training support.
• Providing holiday cover for either where needed.
• Manage any external reps used by the department ensuring compliance with department processes and timely payment.
• Review and update department processes and administrative templates where necessary.
• Assist with any department recruitment of administration staff.
Knowledge/ Experience/ Skills Required
• Proven experience in admin/PA focused role
• Self-starter with strong communication skills
• Previous experience working in an administrative role
• Good working knowledge of Word and basic Photoshop
• Strong Excel Skills
• Ability to multitask, achieving strong results on multiple projects at the same time
• Excellent attention to detail
• Degree level of education
• Previous managerial experience required
