Purpose:
• To manage the deployment of our examiners, moderators and verifiers, known as Assessment Associates (AAs), to assessment roles in a given subject or qualification area.
• To be responsible for ensuring that sufficient AAs are contracted to meet target requirements in all areas for which the Allocations Co-ordinator is responsible.
Key Accountabilities:
• Taking responsibility for a given qualification area from across the General and Vocational Qualification range, to manage and facilitate the contracting, deployment and allocation of AAs in line with forecast requirements and to tight deadlines.
• To assess requirements and despatch sufficient contracts to ensure full coverage of allocations are achieved by the target date. Administer the reallocation of AAs to take account of turnover and customer need.
• There may also be a requirement to become involved in a specialised area, such as the deployment of AAs to cover grade reviewing, confirmation sampling or deferrals.
• To maintain a customer service focus on the relevant AA group, managing the relationship from the list of available trained AAs. This will involve responsibility for maintaining and updating records using different database systems and responding to queries, both directly and via the Customer Relationship Management system.
• Proficiency needs to be established with various systems including IQS to ensure that all information is correct and up to date, so that the interface with other interdependent systems is secure
• Allocate AAs to all approved programmes for which a service is provided, preparing examining schedule/Verification Schedule and issuing contracts
• Monitor allocations by sector and identify and report to the Team Leader shortages with supporting evidence
• Provide accurate MI reports for qualification areas of responsibility in order to analyse progress
• Ensure that AA contracts Terms and Conditions and other relevant documentation are despatched within agreed timescales
• Assisting colleagues within the Allocations and Contracting team with their workload during peak times
• Liaison will be required with other areas of the business in order to achieve business objectives
• Participate in all administrative tasks involved in the payment process for AAs
• Supervision of temporary workers is occasionally required.
Key Challenges:
This role is business-critical and covers an essential phase in the successful delivery of the GQ & VQ product suite. Team members need to remain focused while working to tight deadlines, yet also need to be sufficiently flexible to manage the varying priorities, meeting deployment targets while answering customer queries, acting as a subject-specific contact while responding to urgent situations that frequently arise during the examination period etc.
The role’s tasks are subject to change over time as the business evolves.
Qualifications
Experience
Essential:
• Ability to work effectively as part of a team.

Education

• Educated to A-Level standard or equivalent
Desirable:

• Educated to degree standard or equivalent
Previous Experience
Essential:
• Administrative or relevant experience.
• Excellent customer service skills
Desirable:
• Understanding of AA contracting and deployment activities.
• Understanding of AA Payment issues
IT Literacy
Essential:
• Good understanding of Microsoft Office package, intermediate MS Word and Excel.
• Ability to learn quickly company-specific software.
Desirable:
• Knowledge of CRM, IQS systems, Gateway and iSeries.

The position requires high level communication and organisation skills, and the ability to effectively prioritise a large and varied workload in the context of strict deadlines.
Key requirements for the successful applicant are an ability to co-ordinate and carry out activities with limited supervision, and take ownership of the deployment responsibility for a suite of qualifications. Excellent interpersonal skills are required to interact effectively with internal and external customers. The applicant must be able to respond effectively to late changes in demand for AAs and other urgent situations.
Working pattern - 37.5 hours per week
