The Information Technology team develops and maintains Bell’s internal systems and applications while also developing integrated technology solutions for customers across all lines of business.
The team manages Bell’s IT Infrastructure and the service availability of over 700 applications, including mission critical billing and service systems. The IT delivery teams drive the IT Work Program with over 60% of IT capital invested in initiatives that support business unit priorities and Bell’s strategic imperatives.
The successful individual will be responsible for administrative duties. In this role you will represent the department to both internal and external contacts. Much of the work performed requires discretion and thorough knowledge of the functional area.
Job Duties/Accountabilities:
• Managing calendars and itinerary; including the planning, organization, coordination of travel, meetings, conference calls, events and logistics with both internal and external clients
• Provide administrative support for the team as required
• Maintenance of a master filing system and being able to process confidential transactions in an efficient and expedited manner.
• Assist the team with ad hoc requests i.e. coordination of events, meetings
• Manage general correspondence, through processing incoming calls, mail and taking appropriate action and escalation with minimal supervision
• Developing and implementing process improvements to maximize departmental efficiency.
• Managing expenses; including completing invoice payments and expense management accounting, investigating and sourcing cost-effective purchases and practices
• Managing special projects and additional support through the coordination of personnel related issues
Essential Skills/Competencies:
• Professionalism and exhibiting good judgment in representing multiple Directors.
• Strong interpersonal skills and excellent written and verbal communication skills.
• Solid analytical skills with ability to draw insights and provide recommendations.
• Proficient organization, planning, scheduling and time management skills with the ability to multi-task, make decisions and prioritize work.
• Personal commitment to ownership and accountability for the success of tasks assigned with a high level of attention to detail and effective follow-up on activity.
• Process oriented mindset, with the ability to work independently and within a team.
• Ability to work effectively under pressure and in a fast paced environment.
• Takes initiative without the need for guidance
• Display strong initiative and anticipate the needs of Directors & team.
• Computer experience is mandatory. Must have the knowledge, skills and abilities to use and operate a PC in the windows and internet/intranet environment, including, windows and navigation, file management, internet use and e-mail software (Outlook).
• Must have a strong working knowledge of commonly used business software, including MS Office Tools – Word, PowerPoint, Excel, Access, WinZip,
• Understand key components of human resources administration and how to use the information / data of the management systems and tools required to do the job
• Experience and visibility as business operational partner
• Position requires the willingness to work beyond typical business hours
• Results oriented with untiring work ethic
Preferred Qualifications/Competencies:
• Post secondary formal training plus administrative experience
• Bell tools ARIBA , SAP, HR Transaction, APSS, CSAC, etc.
• Experience is an asset
Bilingualism is an asset (English and French)
