Job Purpose
Support the capability of the Workplace function within a busy production studio, and strive for excellent customer service at all times.
Responsibilities
• Operate reception desk for the studio and provide outstanding service to both team members and outside parties;
• Greet all visitors to the Studio and provide excellent customer service as an Ambassador for Reflections;
• Answer phone calls to the Studio and relay messages as needed, rejecting any unwanted
calls from solicitors and other marketing calls;
• Collect delivery notes, invoices and expenses claim forms and liaise with the Assistant Accountant as needed;
• Book all ad hoc taxi services required for the Studio;
• Order and monitor office supplies for the Studio;
• Monitor door passes for the Studio, requesting them for new starters and visitors, retrieve them from leavers as needed, recording information and reporting any issues;
• Create welcome backpacks for new starters and monitor the stock appropriately;
• Maintain both incoming and outgoing post for the Studio including parcels and recorded
deliveries;
• Ensure the hygiene of the studio is being maintained to designated standard and report
any issues to the Workplace Specialist;
• Maintain the supplies for the studio break points to ensure they are stocked with fresh
milk, fresh fruit, coffee, tea and other staples by monitoring stock and coordinating replenishments;
• Coordinate the arrangements for big breakfasts, from creating the calendar reminder event
for all team members in the studio to coordinating the themed breakfast to go alongside the meeting;
• Execute all food orders including day to day food requirements, honesty boxes, overtime
snack cupboard etc.;
• Order overtime meals and ensure there are snacks available for employees working
additional hours, liaising with production teams to determine requirements according to the policy;
• Manage the Honesty Box in conjunction with the workplace specialist by ordering and
monitoring stock as required;
• Liaise with IT, HR, Production and the rest of the Management Support Team as needed;
• Assist the Workplace Manager with ad hoc issues and requests as requested.

Skills and Knowledge

• Computer literate with a good working knowledge of Microsoft Office applications;
• Ability to prioritise workload.
Relevant Experience
• Up to 1 years’ experience in an internship or professional placement in a similar
role or other relevant experience;
• Bachelor’s degree in business administration or other relevant training would be desirable.
