Position Summary:
The PA/Team Coordinator is an integral member of the Discovery International Learning & Development (L&D) team who will focus on providing PA support to the VP Talent Acquisition & Development, as well as assist in the day to day administration of international L&D projects.
We are looking for a proactive and driven individual who is a self-starter and has proven experience as a PA.
Responsibilities:
PA Support – for DNI VP, Talent Acquisition & Development
• Diary management - organise meetings, conference calls and book rooms and equip rooms as needed (e.g. video conference, flip charts etc)
• Organise travel (flights, accomodation, logistics etc)
• Organise events (summits, conferences, catering, logistics etc)
General
• Administrative support on L&D projects
• Administrate invoicing, cross charging and supplier set up process
• Assist in the production of status reports and other project documentation
• Attend project meetings and distribute materials/minutes to all project team members, follow up accordingly
• Proactively distribute project information to all stakeholders
Finance
• Responsible for managing the finance recharge process related to all L&D activities (i.e. Training courses)
• Responsible for L&D budget tracking, expenditure, PO’s and vendor payment
Communications
• Support the monthly/quarterly L&D communications to the business on L&D programs and activities
Vendor Management
• Responsible for managing vendor admin and relationships related to the training course curriculum (e.g. sending out contracts)
Requirements:
• Must have proven experience as a PA and in dealing with budgets
• Excellent interpersonal and communication skills. Ability to partner, communicate effectively across different business teams, levels and with those externally (partners/ vendors)
• Comfortable working across different regional cultures and time differences
• Exceptional organisation skills, time management with a strong attention to detail and the ability to prioritize
• Ability to multi-task on a variety of projects in a fast paced matrix environment
• Discretion, professional and personable attitude at all levels
• Flexible, committed and commercially aware
• Fully competent across all Microsoft Office packages
