Job Description:The Account Coordinator manages the budgeting and billing process for all of a Client’s brands, working closely with the Finance, Account Management, and Business Affairs departments.
Responsibilities:
• Managing WIP
◦ Tracking actual vs estimated costs
◦ Revising estimates as needed
◦ Ensuring that all jobs are billed on a timely basis
◦ Meeting frequently with account teams to review
• Managing Client Budget Trackers
◦ Developing budget document at beginning of year
◦ Updating frequently to reflect actual costs incurred/new job information
◦ Analyzing variances and communicating to account teams/client
• Handling client monthly billing and year end close process
◦ Developing monthly close out lists
◦ Closing and final billing jobs in accordance with client guidelines
◦ Working closely with different groups to meet closing deadlines
• Tracking Fees billed
◦ Confirming that monthly fees are billed timely and accurately
• Creating/Monitoring client jobs:
◦ Opening jobs in Brand Ocean and creating estimates as needed
◦ Obtaining signed estimates and client PO’s
◦ Sending requests for billing
• Maintaining / Overseeing the Non-billable budgets
◦ Determining appropriate budgets at beginning of year
◦ Opening non- billable and timesheet jobs
◦ Tracking actual costs to ensure we are in line with budget
Qualifications
Required Skills/Experience/Qualifications:
• 2+ years related work experience —agency experience highly preferred
• Advanced Excel skills required
• Exceptional interpersonal skills, project management and organizational skills
• BA/BS or equivalent required
