Overview and Responsibilities
VH1 is seeking an Executive Assistant to support the EVP, Head of Unscripted Development.The ideal candidate will be experienced in handling a wide range of administrative and executive support related tasks and will be able to work independently. This person must be exceedingly well organized, flexible and enjoy the administrative challenges of supporting a television executive as well as being part of a production team. Responsibilities include:
• Service the administrative needs of EVP, including phones, photocopying, mail, correspondence, files and general organization
• Efficiently manage needs of EVP (i.e. ordering supplies, equipment, dubbing, events)
• Schedule meetings including meeting logistics with internal departments and external clients/businesses
• Handle travel arrangements and T&E preparation and processing
• Interface regularly with senior executives and their assistants, providing information as needed
• Provide administrative support on projects and initiatives
• Summarize show information into reports which are distributed to internal departments
• Organize and process new idea documentation for both internal and external sources
• Maintain database of all pitches submitted to development team
• Prepare and update third party production company database
• Contribute creative ideas and potential talent options for developing projects
Basic Qualifications
• 2 years of administrative experience, television studio, network or talent agency experience preferred
• Computer skills (Outlook, Word, sExcel) with a strong knowledge of MacIntosh computers
Additional Qualifications
• Bachelor's degree
• Highly professional; remaining flexible, proactive, resourceful and efficient
• Ability to interact with staff (at all levels) in a fast paced, high pressure environment
• Ability to handle highly sensitive information and maintain a high level of confidentiality
• Must have excellent calendar management skills, including the coordination of complex executive meetings
• Expert level of written and verbal communication skills
• Strong decision making ability; good problem solver with the ability to anticipate issues and alternatives
• Excellent attention to detail and follow-through
• Someone interested in entertainment and the arts. Must have a passion to learn and grow in a creative department
