This is a staff-level operations position in the Order Management & Invoicing Operations team in Blackboard’s Global Order Management Department. The primary responsibility of the Order Management Analyst is to process and close transactions in the sales systems and ensuring proper data flow to downstream financial systems to correct generate invoicing, trigger commission accounting, record revenue and initiate customer fulfillment and entitlements. This role will support a specific market of the organization and will be responsible for maintaining market-specific knowledge.
The Order Management Analyst will play an integral role in core sales and financial system data analysis and maintenance within our Operations department. Specifically s/he will:
• Process new sales and renewal contracts from Salesforce to PeopleSoft Financials with a strong transactional focus.
• Ensure that financial and administrative controls are maintained by reviewing sales deals and checklists, ensuring that pricing, discounts, promotions, and proposals are handled in accordance with internal guidelines.
• Monitor transactions for consistent data flow across multiple sales and finance systems.
• Originate sales order data in the sales and financial systems, ensuring setup, revenue plans and billing plans are correctly reflected.
• Handle complex transactions, especially as related to complex customer contracts, accounting transactions
• Provide assistance and/or make decisions about contractual realignments and invoicing modifications, based on a sound working knowledge of revenue/business model and the Bb product and services offerings as well as good familiarity with the details of the global client base.
• Ensure all new and renewal transactions are processed for accurate and timely billing.
• Monitor automated billing processes and invoice delivery mechanisms on a daily basis and upload invoices into third party delivery system
• Be the authoritative source on existing customer and contract detail and its implication for follow-on sales. Ensure customer queries are handled professionally, completely, accurately and with the highest urgency.
• Participate in regular data/contract conversions associated with acquisitions and special projects.
• Other special projects as needed.
All other reasonable duties assigned, relating to the successful operation of the Order Management department.
Professional Qualifications
Required Skills:
• 1-2 years Order Management, sales operations or other operational experience
• Strong customer focus
• Ability to work with ambiguity in a fast-paced, changing environment
• Demonstrated ability to multi-task, organize and prioritize to accomplish specific tasks.
• Meet tight deadlines, meeting monthly, quarterly, and annual goals
• Excellent verbal and written communication skills to effectively partner with clients, customers and fellow colleagues of all levels.
• Intermediate experience using Excel
Preferred Skills:
• Degree in Finance, Accounting (or related field) or commensurate experience
• Solid understanding of revenue recognition processes and requirements is preferred including external accounting principles, internal company practices as well as an appreciation for risks involved
• Strong finance or operational background
• Salesforce or SalesLogix experience
• PeopleSoft Financials experience
• Advanced knowledge of Microsoft Office
