Position Summary:
Responsible for general maintenance and managing of all administrative tasks of the local office to support the business, core tasks also include liaising with regional offices in Romania, Bulgaria, Serbia and Czech Republic, head office in Warsaw & London.
This is a part-time role for 10-15 hours.
Responsibilities:
• Managing all office communication across head offices
• Reception, phone call, general organisation e.g. Agenda, trips, couriers
• Arranging maintenance of office ensuring functioning of all equipment, liaising with IT.
• Supports CM and visiting team members with local logistics.
• Managing the company cars and any HR fringe benefits in liaise with the DNE HR department
• Managing internal communication and booking system for any shared facilities such as conference rooms etc.
• Managing any required insurances including insurance of the premises, car insurances etc.
• Coordination with finance regarding billing and invoice payments for services.
• Preparing attendance sheets
• Office audit by PWC before financial statements' preparation and Tax Authorities
• Gathering and preparing invoices, expense reports for the book-keeper (TMF)
• Handling of premium items, ordering of office supplies/stationery
• Health and safety of the offices/employees
• Organizing events/activities for Hu employees
• Additional ad-hoc duties as required.
• Behaves as an ambassador for our region in communications, building and maintaining excellent, goodwill relationships across the entire CEE and central (e.g. IT, Finance) teams.
Requirements:
• A number of years' assistant/office manager experience
• Excellent organisation skills & attention to detail
• A can-do attitude and desire to learn and self-improve
• Good communication skills / telephone manner
• Ability to communicate and adapt across cultures
• Strong client service orientation
• Strong interpersonal skills
• Team player
• Fluent oral and written English and Romanian
• Optionally speaking one of the CEE languages
• Proficient in Microsoft Office (Word, Outlook, PowerPoint)
• Has a passion for factual and sports genres.
