Veritas Technologies is searching for an experienced, reliable and task-oriented Executive Assistant to join the sales team in Heathrow, Florida. The Executive Assistant will report to the Vice President of Sales, in the software Renewals organization, and will be responsible for performing a number of administrative duties. The ideal candidate is highly self-motivated, professional, flexible and capable of managing their work load and prioritizing tasks in a fast-paced corporate environment. Responsibilities
• Coordinate executive communications, including taking calls, responding to emails, transcribing notes and whiteboards, and engaging across Veritas
• Prepare internal and external corporate documents, spreadsheets and presentations.
• Schedule meetings and conference calls, and manage travel itineraries and expenses.
• Arrange corporate events that may take place internally or off-site.
• Follow up on deadlines, requests and items delegated to team members to help keep management teams aligned and focused. Provide support with collaboration and consolidation of documentation and/or data.
• Provide some office manager duties, such as managing supplies and ensuring office equipment is maintained.
• Uphold a strict level of confidentiality
• Develop and sustain a level of professionalism among staff and clientele
Qualifications
• Bachelor's Degree preferred or equivalent experience
• 5 years of experience supporting sales and executive teams.
• Expert on all Microsoft Office products, especially Word and PowerPoint.
• Excellent written and verbal communication skills and experience independently monitoring and responding to email/voice mail on behalf of Executive
• Able to concentrate on multiple project and tasks at once
• Experience in collecting and preparing high polished information and documentation for use in discussions/meetings with internal/external clients.
• Experience with heavy calendaring and domestic/international travel administration.
• Ability to quickly grasp the essence and the underlying structure of situations and issues.
