About the Role
We are looking for a passionate, high-energy, meticulously organized professional to support the Corporate Technology function. We’re a fast paced group comprised of Engineers, Analysts, Technicians and Managers supporting Global Corporate Technology Support, Infrastructure, Networking, Project Management, and Audio Visual Services. We deploy smart technology solutions that make WeWork employees’ lives easier. We are passionate about what we do and strive to maintain a tight-knit and welcoming atmosphere.
Duties and Responsibilities:
• Assist Department Head with executive needs, such as calendar management, expenses and travel
• Primary interface for the Corporate Technology Team providing a positive experience for all team members
• Maintain day to day calendar scheduling for department head and leadership team
• Serves as the point-of-contact for department communications and coordination of all office related activities such as seating charts, security badges, office supplies, etc.
• Assist with onboarding and offboarding team members
• Travel, event planning, and coordination for individuals and groups
• Prepare and reconcile expenses
• Ensure impactful, focused meetings and general team organization
• Guides Team member actions by researching, developing, and updating policies, procedures, methods, and guidelines; communicating developments to management.
• Organize events and departmental activities within the company and with third parties
• Compile and share meeting notes and project updates
• Capture meeting decisions and action items; when requested, distribute minutes to stakeholders in a timely manner
• Maintain recurring reports and metrics gathering
• Maintain a level of professionalism with employees, members and vendors
• Planning and coordination of monthly, quarterly and biannual events.
• Liaise with internal and external senior executives
• Operational lead for HR / Culture
• Point person for Safety & Security for Building.
• Go to contact for maintenance, mailing, shipping, supplies, equipment, bills and errands.
• Provide general support for visitors
• Monitor and maintain office supplies and consumables inventory
• Convey warm and efficient customer service skills
Key Qualifications:
• 1+ years experience in a project management environment or executive support
• Strong calendar management skills (using google calendar to liaison with multiple partners within the company)
• Experience working in a fast paced environment and excels under pressure
• Discretion and confidentiality in all communication
• Excellent PC/Mac skills plus proficiency in Google Suite (Gmail, Sheets, Slides, and Docs)
• Strong problem-solving and multitasking abilities
• Superior verbal and written communication skills with experience with working with executives
• Reliable, detail oriented and meticulous
• Ability to work independently and with teams taking ownership of tasks to completion
• Desire to learn with a strong work ethic and entrepreneurial spirit
• Basic understanding of financial management and budgeting
• Experience working with technology teams a plus.
• Excels with tight deadlines and can maintain a calm demeanor at all times.
