The Office Manager will be responsible for providing a wide-range of support to the management. This includes, but is not limited to calendar management, personal logistics, presentation, creation, special projects and other types of administrative support. The office manager will work independently and with a deep sense of urgency to ensure that the director’s needs are supported in a professional and confidential manner.
RESPONSIBILITIES
• Ensure office-based team’s needs are met regarding supplies, food for “lunch and learn,” conference rooms booking, seating assignments, move to new HQ, team outings coordination, internal events coordination, etc.
• Expenses and vacations tracking for US2 directors.
• Systems operation assistance and support organizing air-table staff.
• Organizing emails and coordinate / organize Google groups.
• Update weekly projects tracking.
• Manage and maintain director’s schedules, requiring interaction with both internal and external and coordinate a variety of meetings and trips.
• Provide collaborative professional support using independent judgment and discretion to ensure optimal work, confidentiality and information flow.
• Manage and prioritize multiple projects simultaneously, and follow through on issues in a timely manner.
• Prepare memos, reports, invoices, projects, presentations and other documents as needed.
• Manage logistics, timelines and calendars to ensure the most effective use of the director’s attention and focus.
• Proactively monitor schedules to identify and resolve conflicts and inefficiencies.
• Open, sort and distribute incoming correspondence, including faxes and email.
• File and retrieve corporate documents, record, and reports.
REQUIREMENTS
• 2+ years of progressive responsibilities providing high level administrative support.
• Demonstrated proficiency in Google Suite applications with the ability to learn other technology as needed.
• Excellent verbal and written communication skills, along with editing and proofreading aptitude.
• Ability to manage multiple priorities, projects and display flexibility in a fast-paced and changing work environment.
• A keen sense of urgency, adaptability, and accountability to strive for excellence in high pressure situations in order to plan and accomplish goals.
• Must demonstrate a high level of responsiveness in communicating with employees of all levels and other external constituents using all forms of communication.
• Entrepreneurial minded with an internal drive to continuously hit goals and succeed.
• Experience excelling within fast paced, high energy environments.
• Bachelor’s Degree in a related discipline or equivalent work experience.
