THE TEAM
As a member of the Facilities team, this role will report to our Global Director of Facilities, and sit within our larger Briteling Experience team. Members of the Facilities team see to it that our office is in tip top shape, and are not afraid to jump right in and get their hands dirty if a problem arises. This team is a lean, mean fighting machine, so be prepared to wear multiple hats!
THE ROLE
The Workplace Specialist owns the relationship with all of our vendors and corporate partners, and must be financially savvy in order to maximize our onsite offerings while staying on budget. This person must be truly motivated by the desire to delight those around them, and take initiative to engage in conversations with employees to discover the missing pieces to a perfect workplace puzzle.
Some of your responsibilities will include:
• Ensure that our vendors are meeting their service level agreement specific to snacks/beverages in our community kitchen.
• Engage with the Briteling community to ensure food/beverage offerings meet employee needs/preferences. Share feedback with leadership when appropriate.
• Oversee all onsite programs: onsite chiropractic, massage and acupuncture, for example.
• Daily office walk through to ensure potential problems are identified and resolved in a proactive manner.
• Assist with the setup of all onsite events, particularly in our all hands area.
• Confirm regularly that all audio/video technology in the all hands area is functioning properly. Work with BriteTech Support to resolve any equipment failures or concerns.
• Own management and scheduling for the all hands area and other large presentation rooms/areas.
• Manage our corporate partners - hotels/Ford Bikes/Airbnb, etc.
• Assist employees who may be having trouble taking advantage of our corporate travel partnerships.
• Audit our facilities expenditures/credit card expenses monthly.
• Assist with new Briteling orientation, by providing a building tour to new hires and gathering/managing all special equipment requests.
• Audit & assembly of new Briteling “welcome packets”. Ensure hiring managers have provided all required information for our San Francisco & Nashville offices.
• Event planning - own the event request forms, ensuring appropriate space is available. Maintain our master schedule of events and ensure all security requirements are met.
• Manage ergonomic evaluations for the San Francisco office.
THE SKILL SET
• BA or BS degree.
• 1+ years in an administration position.
• Excellent Customer Service Skills.
• Experience with working within a budget.
• Strong time management skills.
• A “no job is too small/too big, make it happen” attitude .
• Great team player, but with the ability to work independentlyAbility to gracefully handle competing priorities simultaneously.
