Description
Position Title: Receptionist/Administrative Assistant
Department: Administration
Grade: 5
Position Summary: The Receptionist/Administrative Assistant answers incoming calls. Provides clerical support as needed.
Major Responsibilities:
• Answers and directs all incoming telephone calls, taking messages as needed.
• Professionally greets, screens and announces visitors, following strict safety procedures.
• Maintains building security, including arming and disarming the alarm system.
• Collects, sorts, distributes interbranch, US mail, deliveries and courier packages to appropriate employees.
• Prepares courier packages for pickup.
• Completes miscellaneous clerical tasks as needed.
• Makes hotel reservations for Bank employees and guests.
• Orders weekly supplies for the Headquarters building.
• Maintains supply room and distributes incoming supply orders.
• Maintains mailing list database for financial reports and mails reports as necessary.
• Maintains TCB conference room schedule for company appointments and meetings.
• Maintains Headquarters telephone directory.
• Assists other departments when requested.
• Maintains janitorial log and maintenance list.
• Calls vendors when necessary.
• Takes copier readings and coordinates maintenance of copiers. Refreshes copier room supplies.
Other Responsibilities:
• Raises and lowers American Flag as needed.
• Maintains building guest book and badge system.
• Ensures building tidiness is maintained.
• Performs other job-related duties as assigned.
• Adheres to Bank policy and procedures including BSA, Security and Gramm-Leach Bliley Act privacy principles and confidentiality regulations by successfully completing related trainings and maintaining these learned practices on the job.
Education, Experience, And Other Skills Required:
• High school diploma or GED required.
• Minimum six months prior office experience.
• Excellent verbal and written communication skills.
• Ability to use office equipment, such as 10-key, copier and fax machine.
• Must be able to lift and move up to 30 lbs.
• Ability to utilize personal computers and Windows driven programs.
Physical Requirements:
• May be required to lift up to 25 pounds.
