Responsibilities
• Answers phones and direct calls to appropriate team member (check voicemail, activate night service, etc.)
• Greet visitors, notify appropriate team member of their arrival, hang coat, etc., offer refreshments and seat them in conference room
• Schedule conference rooms/projector; maintain cleanliness of lobby, front desk and conference rooms
• Make reservations with caterer as requested for food/beverage service for conference rooms
• Look up unidentified incoming mail and annotate with appropriate team member for delivery
• Sign for and distribute UPS/FedEx/DHL packages
• Prepare FedEx packages as requested
• Process expenses for professional team members
• Input business cards and other data into SalesForce
• Assists tax department with scanning tax documents, tracking of returns throughout the year and busy seasons, sending client information
• Assists audit department with creating hard copies of financial statements, presentation as necessary
• Assist other support staff with overflow work (correspondence, mailings, etc.)
• Assist other business units as requested (travel arrangements, etc.)
• Order name plates and access cards for new team members
• Proofing reports and letters as requested
Qualifications
The ideal candidate will have a minimum of three years of experience in a support role in a corporate environment:
• Excellent communication (verbal and listening skills) on phone and in person
• Ability to work effectively with clients and team members
• Professional telephone voice using proper grammar and etiquette
• Work environment maturity and professionalism – must have sense of urgency and follow through skills
• Answer multiple telephone lines in timely manner and direct calls to appropriate team member
• Use discretion when screening telephone calls and walk-ins
• Ability to effectively multitask with flexibility to adapt to situation when interrupted
• Proficient in Microsoft Office 2007 Outlook, Word and Excel
• Use copy/fax machines and scanning equipment
• Familiarity with accounting and financial concepts is preferred. Prior law firm or accounting firm experience is a plus
